General Description
The essential function of the Site Coordinator(s) will be to provide ongoing coordination, support, documentation, and logistics management for programs and events under Project FORWARD for the 2025-26 school year. She/He/They will be responsible for program planning and implementation, recruitment of students, coordination with the school-day teachers, program instructors, transportation, and parents, and collecting and inputting data as needed. This position works independently, in regular communication with the Project FORWARD Director/Vision Ed Inc Executive Director and relates events, updates, and major activities via regular communications and periodic meetings.
Primary Duties
The following list represents the essential tasks performed by the Site Coordinator. These essential functions should not be construed as a comprehensive list of duties, as additional tasks may arise or be required periodically:
Day-to-Day Responsibilities:
Preparation for the start of all programs, including:
Logistics: Securing space (including submitting requests for use to the DOE), materials, and supplies for each program and coordinating times and materials with school and program staff.
Recruitment and intake: Promotion of programs to students and parents, distribution and collection of ESD/SVP enrollment forms, input of required student and program data into state-mandated database (Youthservices.net)
Generating sign-in sheets for each program session, and collecting them each day
Entering all student attendance into Youthservices.net
Developing and maintaining a system for check-in and dismissal of student participants for each program.
Coordinating throughout the school year with school administration and staff, vendor staff, and Project FORWARD Program Director for special events.
Maintaining state-required binders of logistical, scheduling, safety, program, and site information
Requesting, retrieving, and distributing snacks for after school programs through the proper DOE channels and keeping/submitting records to this end, if necessary.
Planning attending semi-annual meetings to maintain communication regarding the Project FORWARD.
Communication with program evaluators and scheduling of 2-3 site visits per year.
Ongoing support for programs, staff, and vendors under Project FORWARD, and ongoing communication with the Program Director.
Broader Responsibilities:
Ensuring program compliance with all applicable District policies and procedures, state and federal laws and regulations, and standards of quality and safety; interprets policies, procedures, laws and regulations for staff and parents as necessary.
Monitors program effectiveness and efficiency, and makes recommendations for improvements as necessary to enhance services, achieve goals and ensure compliance.
Serves as a resource to and provides technical assistance to the Principal or Designee, staff and teachers.
Reads, interprets, and applies complex policies and laws governing the ESD/SVP program at the site.
Submit all required documentation on a timely basis, including attendance, snack counts, permission forms, federal data, timesheets, invoices, and surveys to appropriate district staff.
Maintain and track monthly budget in coordination with the District Coordinator, Finance and the Principal.
Maintain and submit to the District Director a detailed schedule of academic, recreational and enrichment activities according to the ESD/SVP guidelines
Attend periodic meetings and workshops within the school and within the city-wide ESD/SVP grantee community as needed
Requirements
1-3 years experience in an educational organization or an organization serving the NYC's Department of Education.
Passion for teaching and learning.
Excellent in influencing diverse stakeholders - with tact and tenacity.
Outstanding track record in quality and customer satisfaction.
Outstanding written and oral communications skills, highly responsive, timely and accurate in providing internal and external clients pertinent information.
Strong business acumen; ability to understand business requirements of a customer-focused organization, focused on pragmatic solutions within the context of a school environment.
Outstanding project, planning and time management skills, including prioritization and multitasking in a fast-paced organization and a complex client organization.
Excellent influencing, cooperation and negotiation skills and the ability to use those capabilities appropriately.
Outstanding track record of success in balancing competing priorities.
Technology savvy and excellent in Microsoft Office.
Highly professional with a positive attitude and a good sense of humor.
This will be a part-time position, requiring between 15-20 hours per week, including Saturdays when weekend programs are in session.
The regular weekly schedule is Monday-Thursday, 2pm-5:30 pm.
Job Types: Part-time, Contract
Pay: $18,000.00 per year
Expected hours: 15 - 20 per week
