Job Overview


We are seeking a dynamic and detail-oriented Administrative Assistant/Occupancy Specialist to join our team. This vital role combines administrative expertise with occupancy management responsibilities, ensuring smooth property operations and compliance with housing regulations. You will will work directly with applicants and current residents and will be responsible for the leasing process from introduction to the actual occupancy of the resident. The ideal candidate will be proactive, organized, and customer-focused, ready to handle a variety of tasks that support property leasing, tenant relations, and regulatory adherence. This position offers an exciting opportunity to contribute to community development while honing your skills in property management, legal administration, and customer service.

Duties include:



Processing income certifications/recertifications for multiple affordable housing programs and updates Yardi database.

Greeting and providing instruction and guidance to prospective and current residents during application/recertification process.

Coordinating leasing to include intakes, interviews, processing and preparation of applications, and their distribution.

Coordinating and maintaining waiting list.

Assisting with rent collection efforts by mailing notices to delinquent residents.

Preparing lease packages and supplemental documents for new move-ins.

Conducting new resident orientation.

Skills



COS Experience with Project-Based Section 8. Bilingual (English/Spanish) Proficiency in property management software such as Yardi; experience with data entry and record keeping. Basic math proficiency required. Knowledge of subsidy regulations. Experience with Microsoft Office and Excel; able to work independently; ability to handle emergency situations and pressure due to complexity and time-sensitivity; organizational and proofreading skills; attention to detail; ability to be an active and actively communicate with other staff
Job Type: Full-time

Pay: $24.00 - $26.00 per hour

Expected hours: 40 per week
