Summary



We are seeking a Full Time Administrative Assistant to join our team at Claude H. Nix Construction Company. The Administrative Assistant is responsible for providing clerical and administrative support to ensure the efficient operation of the office. This role involves assisting multiple departments, including Human Resources, Project Management, and Accounts Payable, by performing a variety of tasks such as answering phones, maintaining records, and supporting financial processes.

Required Skills



Is Proficient in Microsoft Excel, Word, and Outlook. Maintains and updates spreadsheets used for accounting support, HR tracking, training records, compliance, scheduling, and reporting. Performs accurate data entry, audits, and reconciliation of administrative, accounting, and HR records. Works effectively with employees at all levels, including field staff and leadership. Maintains confidentiality and professionalism when handling sensitive employee and financial information. Supports HR administrative processes including onboarding paperwork, training documentation, and compliance tracking. Answers phones, routes inquiries and supports general office operations.

General Job Duties



Performs filing, scanning, document preparation, and digital record management. Assists with new hire onboarding preparation and orientation coordination. Tracks training completion, certifications, and compliance documentation. Supports finance, HR, and Operations with administrative tasks as assigned. Complies with company policies and procedures.
