Job Description


Job Summary:

This position will perform full range of moderate to complex clerical, secretarial, and general office support functions for the college departments. Supporting and contributing moderate to complex general clerical, secretarial, and administrative support to the academic programs or administrative offices serving students, faculty, staff, and/or other university constituents.

Duties and responsibilities

Office Support:

  • Day-to-day work is performed relatively independently with general instructions from leadership. Performing clerical and secretarial work such as, answering phones and corresponding to written and verbal communications, processing standard and electronic mail; preparing and composing correspondence, reports, and other documents; creating and maintaining standard and electronic records and files and record keeping systems; arranging and scheduling appointments, meetings and events; assisting with ordering and maintaining supplies; troubleshooting office technology problems and systems; and performing other general office support and maintenance activities.
Communication and Interaction with Others:
  • Interacting with a variety of campus and community constituents including: working with students, faculty, and staff to assist them or resolve problems; networking to build campus relationships to expedite work and projects; and serving as a contact and/or resource for work unit customers and staff.
Administrative/Academic Program Support:
  • Providing budget support, processing of documents and records, gathering data, and preparing standard reports. Performing administrative duties involving the regular use of judgment and discretion in support of work unit operations/activities including: maintaining office procedures, develop creative solutions when responding to and/or directing student inquiries related to academic requirements, and providing support to faculty.
Information Gathering and Analysis:
  • Some interpretation of policies/procedures and regular use of judgment and discretion are used when maintaining, gathering, and analyzing data and information for various purposes including tracking, monitoring, and/or compiling department activities, programs, events, or other data; compiling and preparing requested reports; and using and maintaining office support technology and systems such as word processing, desktop publishing, spreadsheets, and databases to produce results.
Perform other classification related duties as assigned.

Minimum Qualifications:
  • High School diploma or its equivalent
  • Two (2) years of experience in general office clerical or secretarial work or the equivalent
Required Qualifications

In addition to Position Skill Level I knowledge and skill requirements, work assignments typically require:
  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, and practices.
  • Fluency in using standard office software packages.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
Compensation and Benefits:

Anticipated Hiring Range: $3,338 per month

Classification Salary Range: $3,338 - $4,913 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Probationary

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
