Responsibilities




  • This position supports the Assistant to the Dean (Sr. Administrative Specialist) and the Associate Dean for Academic Affairs (Academic Affairs Dean) in the College of Law. Coordinates administrative and academic processes, processes faculty and faculty candidate travel and reimbursements, assists with course evaluations and promotion and tenure binders, and serves as AOR and FACET representative. Performs general reception and office organization duties for the Dean\'s Office, and assists the Associate Dean for Finance and Compliance as needed.
  • Provides administrative and clerical support to the Assistant to the Dean. Assists with preparation of faculty promotion and tenure binders and University Teaching Award binders. Maintains the Academic Affairs Dean\xe2\x80\x99s calendar and assists with travel arrangements, meeting coordination, etc. as needed. Provides administrative and clerical support to faculty committees as requested by Assistant to the Dean or the Academic Affairs Dean. Assists the Appointments Committee chair with faculty recruiting process, including internal and external job postings and related record keeping, candidate travel arrangements and reimbursements, and meeting and/or event scheduling and support. Provides backup assistance to the Dean in absence of Assistant to the Dean.
  • In coordination with the Academic Affairs Dean, completes faculty Assignments of Responsibility. Distributes FACET worksheets to faculty at the end of each semester, and enters FACET in coordination with Associate Dean for Finance & Compliance. Compiles data and reports for university and external agencies, to include ABA and SACSCOC. Supports the Academic Affairs Dean with implementation of new curricular requirements, and certificate and degree programs. Conducts research on the policies and procedures of peer law schools, compiles data on current and potential students, and reviews and tracks submissions to the university Graduate Policy Committee (GPC).
  • Assists the Academic Affairs Dean and Assistant to the Dean with administrative duties regarding faculty members, including organizing orientation sessions, updating the Faculty Handbook, maintaining current contact information for previous and current adjunct and visiting faculty, and generating adjunct faculty offer letters. Coordinates College of Law course evaluation process and assists with distribution of faculty paperwork. Solicits faculty contact information, course syllabi and course scheduling preferences. Updates faculty profiles on web site.
  • Assists the Academic Affairs Dean with administrative duties regarding students. Generates correspondence regarding transfer student credits, permission to visit, administrative withdrawal, academic dismissal and other student matters. Accesses and prints student schedules for Academic Affairs Dean and Assistant to the Dean as needed.
  • Serves as primary contact for faculty travel. Advises on travel policy and assists with reservations and reimbursements in Concur as needed, to include hotel rate justifications. Works with Fiscal Office to ensure all relevant information and receipts have been submitted, and that faculty are reimbursed in a timely manner. Assists Fiscal Office with tracking faculty expense accounts and student entertainment budgets, and answers faculty questions regarding university policies and budgets.


Qualifications





A Bachelor\'s degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)
  • Applicants must be familiar with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat, or similar software, and standard office equipment/procedures.
  • Must be able to independently prioritize multiple work assignments, maintain professional office demeanor and interact with a wide variety of constituents (students, faculty, staff, alumni and others).


Preferred Qualifications





A Bachelor\xe2\x80\x99s degree is preferred. Previous experience within an academic support and/or higher education administrative office is also preferred.

Schedule





This position works in the office 8am-5pm Monday-Friday, with a 1-hour break for lunch. Overtime hours may be required on occasion to meet deadlines or support special events.

Criminal Background Check





This position requires successful completion of a criminal history background check. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
