Description of Work Position is an Administrative Specialist I and will perform administrative and clerical duties in the Wake County District office. Position will assist Wake County Maintenance employees and Managers and Supervisors when necessary to perform administrative functions pertaining to personnel matters. Position must maintain a high degree of accuracy and multi-task in a fast-paced office. Duties include typing, filing, copying, answering telephone and directing calls. Have the ability to interpret policies and procedures, to include Personnel, Workers Comp, Drug and Alcohol, and Benefits. Assist Wake County District and Maintenance employees when necessary with questions pertaining to personnel issues. Prepare correspondence and reports (daily/random/monthly) as needed, while meeting deadlines. Reports to include vacancies, maintain complement, accidents/safety pins. Maintain an assortment of files to include personnel files and handle with confidentiality. Process paperwork for hiring packages, separations, transfers, LOA, etc. Knowledge of NCDOT payroll system - BSIP. Receive and distribute incoming and outgoing mail. Assist with prioritizing and processing NCDOT Encroachments, Driveway Permits, Bond Releases, tracking Inspections, and Roadway Addition/Abandonments. Perform additional duties as assigned by employee's supervisor.
Knowledge Skills and Abilities/Management Preferences
Salary Grade and Salary Range: NC08 / $37,782 - $66,120
Management prefers applicants with the following:

  • Customer service experience, including documenting, communicating with team members, and resolving customer concerns
  • Experience with Microsoft Office using programs such as Access, Word, and Excel
  • Experience completing and/or maintaining records and reports
  • Experience interpreting and/or explaining policies, procedures, and laws
  • Experience with letter writing, using correct spelling, punctuation and proofreading
Additional Expectations:
Employee should possess knowledge of general office procedures, as well as general computer software applications such as MS Word, Excel, Access, and SAP. Knowledge of BEACON, SAP/BSIP payroll, and NCDOT's Online Permitting System are preferred. Knowledge of NCDOT policies and procedures in reference to Personnel, Benefits, Workers Comp, and Drug and Alcohol. Ability to operate a variety of office equipment including, but not limited to computers, copy machine, fax machine, multi-line telephone system, adding machine/calculator & scanner. Employee must be able to work independently and prioritize daily tasks. Employee should have the ability to communicate effectively in written and oral form. Employee should be able to use correct grammar and spelling to compose/update and proofread correspondence when completing forms, letters and reports. Process documents as per instructions and according to work schedule. Person in this position should have organizational skills and the ability to prioritize tasks to ensure deadlines are met. Employee must perform work in accordance with NCDOT workplace and safety policy. Valid driver's license preferred.
Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
