Description of Work Position is an Administrative Specialist I and will perform administrative and clerical duties in the Metrolina Regional Traffic Management Center (MRTMC). This position will perform a variety of office assistant tasks in support of administrative, program or technical operations. Functions include a variety of record keeping, reporting, and filing activities; public contact, answering telephone, directing calls to appropriate personnel, and taking messages. Good communication skills are necessary. Position will process payroll, inventory, purchase orders, and accounts payable through SAP; personnel and other office duties such as typing correspondence, filing and handling of incoming and outgoing mail, and other assigned duties as assigned by supervisor. Knowledge and use of office equipment and related computer technology such as Microsoft Windows, Excel, Access, PowerPoint, SAP, and Ariba. Payroll/time entry, act as the benefits liaison for the unit, take meeting minutes for all unit meetings, complete accident/incident reports, schedule and coordinate monthly safety meetings, maintenance of security badge access permissions for the building, and interagency coordination with other agencies that share the MRTMC building. Public contact is made on a daily basis answering citizen requests or secure entry requests. Applicant must have excellent telephone etiquette and demonstrate professional customer service skills at all times. Duties involve working independently, problem solving, strong mathematics skills, establishing and updating records and reports, generating and monthly analysis of reports in excel, and coordination of staff and meeting rooms.
Knowledge Skills and Abilities/Management Preferences
Salary Grade: NC08: Salary Range: $37,782 - $66,120
Management prefers applicants with the following:

  • Customer service experience, including resolving customer issues
  • Experience with Microsoft Office using programs such as Access, Word, and Excel
  • Experience completing and/or maintaining records and reports
  • Experience interpreting and/or explaining policies, procedures, and laws
  • Experience in record keeping
Additional Expectations:
General knowledge of office work procedures, methods and practices. Ability to utilize Personnel Manual and Policy and Procedures Manual. Ability to work independently, prioritize daily tasks, process technical information and follow oral and written instructions. Ability to present information clearly and concisely in oral and written form in order to communicate with the public, DOT employees and governmental officials. Ability to utilize office equipment and other technology (software and systems) to meet work needs. Candidates should possess excellent composition skills, attention to detail, and consistency with data entry and correspondence. Must be able to work in an inside environment including being exposed to significant sitting for long periods of time. Ability to stoop and bend for filing purposes. May require work during non-traditional work hours, including nights, weekends, holidays and times of emergency. Microsoft Office, SAP and customer service experience preferred. Ability to learn and independently apply laws, departmental rules, and regulations in performance of assigned duties. Employee must perform work in accordance with NCDOT workplace and safety policy. Selected applicant will be expected to legally operate a motor vehicle.
Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
