The Governor's Office of Community Service (GOCS) exists to expand national service and community volunteerism across Montana. GOCS is a state service commission responsible for administering federal funding for AmeriCorps State programs in Montana and coordinating with other AmeriCorps programs such as National Directs, VISTA, and NCCC. GOCS is led by a Governor-appointed Director and is supported by a fifteen-member Commission on Community Service. GOCS partners with all streams of AmeriCorps service programs and community-based organizations to meet the objectives and goals of the state service plan.

This position may be eligible for a statutory $1.00 an hour base pay increase effective on July 1, 2026.

JOB DUTIES:

If so, then you may be the right person for the Administrative Specialist position with the Governor's Office of Community Service (GOCS). Although housed in the DLI Commissioners Office, GOCS has its own functions.


The Governor's Office of Community Service (GOCS), also known as ServeMontana, is looking for a Administrative Specialist to join our team in a 32 hour per week capacity. In this role, reporting to the Director, the successful candidate will bring skills and experience to provide support for the Office and its initiatives. The overarching goal of the position is to support the Commission on Community Service, the Director, and staff team to sustain high performance with a culture of positive customer service, attitude of excellence, and accountability. This position also offers communications responsibilities such as creative graphic and social media content development that aligns with a range of branding and messaging requirements.


The Administrative Specialist will work independently and with a dynamic team to support recurring activities such as AmeriCorps grant reviews, ServeMontana Awards, the Gift of Life Ceremony, and the ServeMontana Symposium. The Administrative Specialist will have a leadership role in the annual Youth Serve Montana Scholarships and will assist the staff team to serve AmeriCorps programs with marketing, training, and recruitment.


The Administrative Specialist will assist in office administration by preparing for meetings, arranging logistics, running social media, and generating logos and content. The Specialist will manage administrative and outreach functions, including documenting procedures, drafting correspondence and reports, ordering supplies, and maintaining spreadsheets and electronic files.


The Administrative Specialist will build positive professional relationships with community partners and will represent GOCS well during events, with the Commission on Community Service, the Office of the Governor, AmeriCorps, members of the public, and other affiliates.


The Administrative Specialist will occasionally travel in-state to attend national service events, meet with partners, attend conferences and trainings such as the annual State Tribal Relations Training, Montana Nonprofit Association annual conference, and other development opportunities as time and budget allows.

This position is permanent however is contingent on continued funding. Funding is expected beyond one year but is not assured.



KNOWLEDGE, SKILLS AND ABILITIES:




If you are the right person for this opportunity, you will have the following knowledge, skills or abilities:


Knowledge of (or ability to learn in a reasonable amount of time):

Administrative and clerical procedures and systems such as managing records, meeting minutes, zoom meetings, and other office procedures using appropriate terminology. Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Electronic equipment, computer hardware and software, including basic troubleshooting in real time. Knowledge of data management, spreadsheets, creating social media content, and business writing necessary.

Skills:

Project management, managing multiple priorities and processes. Communicating professionally with a wide variety of audiences, public speaking, and paying attention to detail. Time management- managing one's own priorities while considering priorities of others. Microsoft Office Suite programs required.

Ability to:

Work professionally with people of all ages and at all levels within diverse organizations, and present information clearly. Manage projects to completion, stay organized, give and receive constructive feedback. Work independently to meet objectives and remain calm under pressure. Provide effective and professional customer service to the public, communities, businesses, grantees, applicants, Commission on Community Service, and other stakeholders.

MINIMUM QUALIFICATIONS




Qualified applicants should possess as Associate Degree in a related field, plus one year of applicable experience, or three years of related experience. Any combination of equivalent experience and education to successfully perform the essential functions of the position will be considered.

Training Assignment
