About this Job
The Division of Administration/Office of Risk Management has a vacancy. This job title has an assigned pay grade of AS-613.
Office of Risk Management is responsible for managing all state insurance covering property and liability exposures, through commercial underwriters or by self-insuring. This requires the duty of managing all insurance claims, including all tort claims made against the state or any state agency, whether or not covered by insurance. The Administrative Program Specialist-A position is responsible for performing duties that involve a variety of administrative program functions
The Division of Administration is the state government's management arm and the hub of its financial operations. Division offices perform a wide variety of activities including the following:

  • Overseeing the state's capital construction program
  • Working to provide state and federal grants for community development
  • Development of the state budget
  • Providing technology services
  • Giving agencies guidance in the state purchasing and contracting process as they seek goods and services
  • Administering a program that provides federal funds to help Louisiana residents recover from a series of devastating hurricanes
AN IDEAL CANIDATE SHOULD POSSESS THE FOLLLOWING COMPETENCIES:

  • Using Data: The ability to use relevant and valid data to inform a recommendation for action.
Minimum Qualifications
Three years of experience in administrative services; OR
Six years of full-time work experience in any field; OR
A bachelor's degree.
EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information
Job Duties:
Administrative Operations
  • Manage general supply inventories; prepare and submit requisitions to replenish supplies.
  • Support conference room scheduling.
  • Remotely monitor visitor arrivals; greet and announce visitors.
Telecommunications/Information Technology
  • Function as liaison with OTS for routine office telecommunication and technology matters.
  • Prepare assigned workspace and authorize system access for onboarding of new employees. Support Director in equipment or technology implementation and deployment.
In-house Mail Operations
  • Responsible for the daily handling of incoming and outgoing mail.
  • Routes outgoing mail and other packages to various state departments and outside attorneys.
  • Arranges specialized mail services with various providers.
Facility Maintenance, Repairs & Improvements
  • Primary contact with OSB on maintenance, cleaning and repairs.
  • Participates with the Administrative Unit on plans to update workspace, including offices, cubicles and conference rooms.
  • Assist and may oversee repairs or redesign projects.
Timekeeping
  • Personnel and Human Resource responsibilities include serving as ORM's primary timekeeper.
  • Support ORM staff by running reports and providing information regarding time entry and approval.
Human Resources
  • Assist Director with duties related to Position Description updates.
  • May support Director in maintaining ORM's organizational chart.
  • Participate in all training programs delivered by the Office of Human Resources for agency Personnel Liaisons.
Safety & Loss Prevention Program
  • Plans, schedules and conducts quarterly safety meetings.
  • Plans and conducts regular, scheduled safety inspections.
  • Reviews, compiles and updates all quarterly risk exposure reports.
  • Investigates all reports of stolen and/or damaged property.
  • Participates in the annual site audits or reviews conducted of ORM's Program.
Property Control
  • Serves as ORM's property manager and liaison with LPAA.
  • Prepares annual physical inventory, maintains inventory records, and investigates discrepancies.
  • Prepares and submits reports per State rules and regulations.
  • Participates in LPAA reviews and audits.
Records Retention Management
  • Participates in training on the organization and maintenance of records and information management functions.
  • Serve as the Records Coordinator for the Admin Support Unit.
