Essential Job Functions:



The Administrative Office Associate provides support and assistance to associate judges across a range of responsibilities, including screening incoming phone calls, managing and distributing mail, preparing courtrooms each morning, coordinating with JIS for technical support, handling tasks within the general administrative queue, and offering coverage during the absence of the Administrative Aide or Administrative Assistant.


Ensure judges are properly logged in on the bench, including initiating and managing Zoom calls as needed. Check and manage the judges? mail bins located in the clerk?s office. Screen incoming telephone calls to ensure efficient and appropriate handling.


Distribute tasks from the Administrative Chambers General queue to the appropriate judges.


Enter affidavit judgments accurately and in a timely manner.


Respond to daily calls from officers and detectives requesting search warrants by recording their name and contact information if a judge is unavailable. Once a judge is off the bench, follow up to determine their availability to process the warrant.


Prepare and distribute the weekly courtroom schedule. Send weekly emails to visiting judges with relevant updates and information. Draft and issue welcome letters for visiting judges.


Compile and submit the weekly bench time report. Maintain and update the monthly schedule for late-arriving judges.


Assist with monthly pre-trial settlement conferences by confirming all parties have arrived and escorting them to the Law Library.


Monitor and order office supplies as needed to ensure adequate inventory.


Distribute law books to appropriate staff and maintain the law book log with up-to-date records.


Provide general assistance to judges as needed, ensuring timely support across various administrative and operational tasks.

Minimum Qualifications:



Education:

High school diploma (or GED equivalent).

Experience:

Two (2) years of work experience providing secretarial, clerical, or administrative work involving the use of a personal computer and word processing software.

Knowledge:




Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.


General office practices, procedures, and equipment.


Office equipment including, but not limited to, computers, telephones, copiers, scanners, fax machines, etc.


Judicial policies, procedures, and forms.

Skill in:




Managing priorities to meet critical deadlines while multitasking.


Typing on personal computer.


Organization and time management.


Accuracy and attention to detail.


Customer service and handling problems tactfully and patiently.


Reading, comprehension, proofreading, and editing.


Usage of standard office equipment, computer equipment, and computer applications.


Interpersonal communication and relations

Ability to:




Work within time constraints, meet fixed deadlines, and demonstrate good organizational skills


Interpret, apply, and follow a variety of written or verbal instructions.


Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.


Use and maintain alphabetical and numerical filing systems.


Perform basic arithmetical calculations and computations accurately.


Understand and carry out complex verbal and written instructions.


Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.


Understand and abide by departmental rules, regulations, and procedures.


Accurately prepare and process a variety of reports, records, and documents.


Establish and maintain effective working relationships with other employees, superiors, and/or the general public.

Physical Requirements:



Light work.

Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
