Job Description

Duties performed are of a complex and varied secretarial/administrative support nature usually in a major function, department, or unit of the University. This is the most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with more complex secretarial support services or program-related activities, including handling substantive secretarial/administrative details and duties for a supervisor. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.


Required Qualifications


High school diploma or GED.

Four years of qualifying experience or a combination of education and experience that equates to four years.

Experience with Microsoft Word.

Customer service experience.

Spreadsheet and/or database experience.

Organizational skills with strong attention to detail.

Demonstrated positive interpersonal skills.

Effective verbal and written communication skills.

Ability to project a positive attitude.

Ability to manage multiple projects and meet deadlines with accurate results.

Ability to compose, proofread and edit correspondence.

Ability to perform the essential functions of the job.


Preferred Qualifications


Experience in a university setting.

Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP).

Demonstrated ability to design/maintain web pages.

Experience with budget reconciliations.

Experience with business card reconciliations.

Experience taking meeting minutes.


Duties & Responsibilities


Provides primary support for the Senior Vice Provost (SVP)/Academic and Curricular Affairs.

Manages the senior vice provost's calendar and appointments, and schedules meetings as directed.

Provides administrative support for academic planning council and academic program review.

Fields questions about university procedures, offices, etc.

Sends documents that are at least 10 years old and that may be of interest to the university to Archives in accordance with the retention manual (such as, program review, accreditation, academic planning council agenda and minutes, etc).

Maintains academic and curricular affairs web pages.

Creates routine communications on behalf of the Senior Vice Provost or office.

Proofreads and make corrections to documents leaving over the Senior Vice Provost's signature or longer institutional documents emerging from academic and curricular affairs.

Reconciles academic and curricular affairs cost centers monthly and maintains documentation per university policy.

Monitors budgets for all academic and curricular affairs units and prepares monthly summary.

Reviews and processes business card reconciliations in the Visa Spend Clarity system and maintains appropriate documentation.

Coordinates scheduling of FYE courses, schedules classrooms, and prepares hiring forms in the Personnel Transaction system.

Provides administrative support as needed for searches for open positions.

Ensures payroll is approved as required.

Submits invoices for payment, prepares purchase requisitions, and places facilities management work orders as needed.

Processes incoming mail, answers telephones, and orders office supplies.

Acts with high degree of independence as liaison with inside and outside contacts.

Co-supervises student assistants and assist in the hiring process.

Performs other duties as assigned.
