Position Overview
The Legal Administrative Assistant / Office Assistant will provide comprehensive administrative and legal support, maintain detailed case files, assist with client communications, and help keep the office operating smoothly and professionally. This is an excellent in-person opportunity for someone with strong administrative abilities who wants to grow within a legal environment.
Responsibilities Administrative & Office Support
Gather and process essential client information; accurately enter, update, and maintain client records.
Review calendars daily and prepare for all meetings in compliance with firm procedures.
Demonstrate exceptional attention to detail in all tasks and communications.
Professionally answer and route phone calls, address client inquiries and requests, warmly greet clients, and ensure all messages are accurately conveyed.
Draft, revise, and format correspondence, emails, and basic legal documents.
Maintain office supply inventory.
Ensure a clean and organized office environment daily (light cleaning, vacuuming, trash disposal).
Deliver packages, legal documents, or mail to FedEx, courts, or other required locations during work hours.
Handle confidential information and client records with discretion at all times.
Legal Office Support
Open new matters, conduct conflict checks, and maintain well-organized physical and digital case files.
Monitor case progress, track important deadlines, and escalate issues requiring attorney attention.
Draft letters, reports, and other attorney-directed legal documents.
Support e-filing and related administrative duties for Florida state court cases (preferred).

Qualifications Required
2+ years of experience in a legal, administrative, or office support role (legal experience preferred).
Critical thinking skills, strong communication abilities, excellent organizational skills, and the ability to work both independently and collaboratively.
High School Diploma or equivalent.
Strong written and verbal communication skills.
Proficiency in Microsoft Word, Outlook, Excel, and Google Workspace.
Fluent in English; Spanish proficiency strongly preferred.
Reliable transportation and a valid driver's license.
Ability to lift up to 20 lbs and perform light office cleaning.

Active Notary Public or e-Notary (preferred but not required).
