Responsibilities & Qualifications

Responsibilities:

  • Engages with suppliers and customers daily across email, phone, or in person to conduct business ranging from damaged shipping claims to booking offsite meetings.
  • Maintains and updates various records and files, such as but not limited to seating charts, phone lists, and procurement documents.
  • Distributes copies, site wide emails, and other pertinent information as needed in relation to site updates and events.
  • Provides Excel spreadsheets and Word documents containing relevant reports, logs, and tracking systems to Novelis leaders.
  • Seamlessly partners with business to plan and coordinate site wide events, such as but not limited to, company luncheons, family day, retirement and birthday celebrations, etc.
  • Schedules and arranges meetings and training events; plans and orders catering as needed.
  • Assists Novelis employees with acquiring travel documents required for overseas travel.
  • Schedules large group training events and certification courses (fork truck, crane, CPR/First Aid etc.)
  • Partners with Novelis Security to help enforce and champion current Novelis security policies and procedures for employees and visitors.
  • Responsible for cleanliness and organization of mail room, supply closets, conference rooms, and break rooms; orders and stocks appropriate level of office supplies; provides trend reporting of beverage, vending, and office supply usage to Facilities Manager.
  • Liaises between Novelis and various building operations contractors in order to provide optimal employee and facility support.
  • Assists the procurement and finance teams with the generation of purchase orders, processing of invoices, and other vital SAP related functions during times of high load; serves as a backup for procurement related functions, such as PR requests.
Minimum Qualifications:
  • Completion of High School Diploma or G.E.D.
  • 2- to 4- years of previous administrative support experience in a corporate environment.
  • Experience with email systems such as Outlook; strong understanding of Microsoft Office.
  • Ability to organize and prioritize tasks.
  • Carries a positive, engaging demeanor with an ability to professionally handle confidential information and topics.
  • Strong interpersonal communication skills.
  • Ability to support and plan company-wide events.
Preferred Qualifications:
  • 2 or 4 year college degree.
  • Experience in a Research and Technology facility.
  • SAP knowledge or experience.

Novelis\xe2\x80\x99 Spokane facility also known as the Molten Metal Processing Group (MMP) is located along the eastern border of Washington and Idaho.
