Job Description

Ucross Foundation is seeking an Administrative Coordinator to forward the mission of the renowned artist residency program and creative laboratory for the arts. This is a unique opportunity to join the Ucross team.

For more than 40 years, Ucross has provided a rare gift in today's world -- uninterrupted time -- along with workspace and living accommodations, to competitively selected visual artists, writers, composers, and choreographers. More than 3,000 artists have spent time in residence at Ucross on our spectacular 20,000-acre working cattle ranch, located in the foothills of the Bighorn Mountains. Ucross welcomes more than 120 artists to our program each year, selected by an outside panel of professionals.

Ucross is also dedicated to connecting our acclaimed international artists-in-residence with the regional community through year-round public programming, including Ucross Art Gallery exhibitions and receptions; author readings, music and dance performances, and artist workshops; and special annual events, including the Ucross Arts Festival, Founder's Day, and Community Christmas Celebration.

POSITION SUMMARY


The Administrative Coordinator provides key administrative support to Ucross's leadership team, reporting to the Executive Director and working closely with the Business Director, as well as maintains and coordinates office operations. This is a full-time salaried, exempt position. The ideal candidate is warm, tenacious, and highly organized with a keen attention to detail, an appreciation for the arts, and a sense of humor.

KEY RESPONSIBILITIES



Serve as the first point of contact for Ucross via phone, email, and in-person visitors; greet guests, direct inquiries, and coordinate with artists in residence, staff, and visitors Provide day-to-day administrative support to the President and Executive Director, including calendar management, travel coordination, document preparation, digital filing, and minute taking Assist the Business Director with administrative tasks, including support in filing, processing and overseeing artist deposits, month-end reporting, and preparation for the annual audit Assist the residency team with administrative tasks, including special travel coordination, artist shipping, record-keeping, and folder compilation Maintain office systems and support general office operations: order office supplies, maintain printing equipment, sort mail, update contact lists, compile internal operations calendars, oversee phone/internet systems, and keep office spaces organized Support logistics in advance of and during special events Collaborate with staff across programs, development, and facilities to ensure smooth office operations Represent Ucross to the public with a positive attitude and demonstrate strong personal commitment to the organization's mission and activities Work well with fellow staff members, artists, board members, guests and others in a congenial and respectful manner Other duties as assigned

SKILLS & EXPERIENCE



Excellent interpersonal skills, including the ability to communicate effectively to a range of stakeholders Exceptional organizational skills A commitment to excellence and an attention to detail Strong project management skills Relevant computer skills, including Office 365 Ability to handle multiple high-priority tasks simultaneously Two to five years of experience in administrative support or related role

COMPENSATION & BENEFITS


The salary range is $40,000-44,000, commensurate with experience, with a generous benefits package, including:
