The Home Health Care Administrative Assistant supports daily office operations within a home health agency. This role ensures smooth communication between caregivers, nurses, clients, and management while maintaining accurate records, scheduling visits, and providing excellent customer service. The position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities Administrative & Office Support
Answer incoming calls, emails, and inquiries; provide information or route to appropriate staff.
Greet clients, caregivers, and visitors in a professional and welcoming manner.
Maintain office supplies, files, and general administrative organization.
Scheduling & Staffing
Create and update caregiver schedules based on client needs.
Coordinate coverage for caregiver call-outs or schedule changes.
Communicate schedule updates promptly to staff and clients.
Coordinate care with other agencies.
Patient & Staff Records
Maintain accurate patient records, charts, and documentation in compliance with agency policies and regulatory requirements.
Assist with onboarding new staff, including paperwork, credential verification, and orientation scheduling.
Track staff certifications and ensure timely renewals.
Billing & Payroll Support
Assist with timekeeping, billing entries, and invoicing.
Verify completed visit notes and ensure accuracy of hours worked.
Provide payroll support through data entry and documentation review.
Compliance & Quality Assurance
Support compliance activities, such as preparing audit documents or ensuring required forms are completed.
Maintain HIPAA confidentiality and safeguard sensitive information.
Help monitor service quality and follow up on client concerns.
General Support
Prepare reports, correspondence, and agency documents.
Assist management with special projects or operational tasks.
Help maintain a professional and efficient office environment.
Qualifications
High school diploma required.
Experience in home health, healthcare administration, or a related field strongly preferred.
Strong computer skills (EMR systems, Microsoft Office, scheduling software).
Excellent communication, customer service, and problem-solving skills.
Ability to multitask, prioritize, and work independently.
Knowledge of HIPAA and healthcare documentation is a plus.
