Administrative Assistant

The Administrative Assistant provides assistance to the residency program in providing administrative services that support the day-to-day operations of the designated program. Under the direction of the Administrative Director of Medical Education and/or the designated Program Manager, this position includes a wide range of administrative duties related to graduate medical education.

Essential Job Duties:

  • Performs responsibilities consistent with hospital safety policies.
  • Handles general questions from residents via phone, fax, email and walk-in.
  • Accepts residents\xe2\x80\x99 request forms for time off, schedule changes, and away Clerkships submitted by email, fax, or walk-in; delivers requests to the appropriate individual.
  • Communicate with clinical faculty and students as needed to ensure availability of clerkships.
  • Coordinate GME program local and away clerkships between clinical coordinators. Ensures appropriate affiliation agreements are on file.
  • Organize, schedule, and participate in the residents\xe2\x80\x99 orientation; prepare materials for orientation and other materials as needed. Process resident and staff check requests, maintain record of processed and pending items.
  • Maintain and update databases as requested
  • Serves as liaison with IT in the development and/or extension of databases for the department (participating in the development as needed for department functions, defining data fields and queries, designing reports.
  • Contributes to facilities\' team effort by performing other duties as needed/assigned.
  • Ensures resident compliance with policy and procedures.
  • Ensures efficient utilization of resources.
  • Demonstrates/ensures timely and effective process of resident files for rotation. Includes collection of initial application and verification of receipts of required certifications. Ensures timely request, receipt, and notification of resident network access to system programs.
  • Ensures the timely and accurate processing of educational service payments. Maintains accurate A/P ledger for payment.
  • Assists GME residency program coordinators as needed for tasks related to daily program function.
Qualifications

Education:
  • Associate degree required.
  • Bachelor\'s Degree or a minimum of three years of relevant work experience preferred.
  • Four years of equivalent experience may substitute for education.
  • Minimum one year of GME experience and/or Healthcare, Academia, or administrative experience required.
Skills:
  • Proficient in the use of MS Office products, with a working knowledge of Adobe products. Advanced courses in computer applications - MS Access or similar database experience preferred.
  • Ability to learn new computer programs with ease and efficiency.
  • Filing and organizational skills.
  • Must have excellent verbal and written communication skills, be detail oriented, and handle multiple projects/tasks simultaneously.
  • Must possess exceptional interpersonal skills.
  • Must be flexible to work early or late shifts, weekends or as needed.
  • Must have reliable transportation to travel for work between the SoCal MEC facilities.
