The National Bank of Indianapolis is seeking a proactive and detail-oriented
Administrative Assistant - Client Support Manager
to join our Private Banking team. This role provides vital administrative and client support to the Manager and Senior Private Banker/Group Manager, ensuring smooth daily operations and exceptional client experiences. Acting as the primary operational contact for clients within the Group Manager's portfolio, you'll bring professionalism, sound judgment, and a service mindset to everything you do.
What You'll Do
Administrative Support
Provide comprehensive support to the Manager and Senior Private Banker/Group Manager, including managing correspondence, scheduling meetings, preparing agendas, and coordinating travel
Sort and prioritize incoming mail, messages, and requests
Prepare internal and external correspondence, memos, reports, and presentations
Manage departmental calendars and coordinate time-off requests to ensure adequate coverage
Assist with committee, taskforce, and Private Banking meeting coordination, including communication, logistics, and catering arrangements
Support the planning and execution of client events and receptions
Serve as a backup for Operations and Product Development Specialist and Client Support Managers
Client Support & Operations
Serve as a trusted liaison for clients, managing day-to-day account operations and ensuring accuracy and timeliness
Oversee deposit account activities, including opening and closing accounts, ordering checks, processing wire transfers, and monitoring documentation
Coordinate loan operations, including reviewing documents, facilitating closings, booking loans, monitoring collateral, and processing loan draws and paydowns
Track client overdrafts, exceptions, fees, and financial reporting requirements
Prepare and update monthly Private Banker scorecards and reports
Support bankers with client communications, event invitations, and special correspondence such as birthday or condolence cards
Assist clients directly with account openings and documentation as needed
What We're Looking For
High school diploma or equivalent required; college coursework or degree preferred
Minimum two years of administrative experience, preferably in banking, finance, or client service
Familiarity with depository accounts and a foundational understanding of lending preferred
Strong organizational and time management abilities, with meticulous attention to detail
Excellent written and verbal communication skills
Proven ability to manage multiple priorities independently and meet deadlines
High level of professionalism, discretion, and client service focus
Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
