. We're seeking a detail-oriented, proactive professional to support project teams and keep operations running smoothly. Provides clerical and administrative support to one or more team members.
Manages calendars and appointment schedules for team members.
Establishes, organizes, and maintains project documents and files for project staff.
Screens incoming calls and correspondence and responds independently when appropriate.
Prepares memorandums outlining and explaining procedures and policies to workers and clients.
Organizes programs, events, or conferences by arranging for facilities and services, issuing information or invitations, coordinating speakers, and controlling event budget.
Prepares and maintains project records such as agendas, notices, minutes, submittal logs, change order requests, change orders, lien waivers, payment requests, subcontracts, and purchase orders.
Monitors status of subcontractors, insurance certificates, and license documentation.
Assists in securing project closeout documents, lien releases, and operations & maintenance manuals.
Composes and prepares confidential correspondence, reports, and other complex documents.
Creates and maintains database and spreadsheet files.
Manages and coordinates multiple tasks simultaneously and efficiently.
Assists with mailroom duties.
Maintains the highest level of personal candor, integrity, and ethical practices in all business dealings.
