Duties



Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Handle data entry tasks with accuracy using Microsoft Office, Google Workspace, and other office software Maintain organized filing systems--both physical and digital--to ensure quick retrieval of documents Support office management activities such as scheduling appointments, calendar management, and coordinating meetings

Provide exceptional customer service by addressing client needs promptly and courteously Proofread correspondence, reports, and other documents to ensure clarity and correctness Conduct clerical duties including photocopying, faxing, mailing, and inventory management Support medical or dental reception duties if applicable, including patient check-in and appointment scheduling Perform data entry for various administrative projects while maintaining high accuracy levels

Requirements



Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools

Excellent computer literacy including typing speed and data entry accuracy Strong customer service skills with the ability to handle multiple phone lines and inquiries effectively Bilingual abilities are a plus to serve diverse client needs better Knowledge of front desk operations, office management practices, and clerical procedures Familiarity with multi-line phone systems and proper phone etiquette Familiarity with alacourt a plus but not required. Ability to manage time efficiently in a busy environment while prioritizing tasks effectively Experience in legal or receptionist roles is advantageous but not required Personal assistant experience or calendar management skills are beneficial
