Job Description

SUMMARY:

The Executive Assistant supports the Chief Executive Officer and his team under the direction of the CEO. This position manages business-related tasks for the CEO such as creating summaries, often with excel-based tabulation of data , organizing travel, accommodation and logistical support, taking minutes, scheduling meetings, and other organizational tasks. The role requires a detailed understanding of Microsoft Office Suite and excellent problem-solving skills, often under tight deadlines. The Northwest Group, while physically headquartered in its own office building in Tigard, represents many types of businesses in varying stages of growth. Innate sense of being detail oriented, organization and follow up are crucial, as the role will require engagement of other executives on behalf of the NGI CEO, banking, wires, electronic documentation review, processing (ie. DocuSign) and follow up.

WHAT SUCCESS LOOKS LIKE

: Candidate a consummate professional, detail oriented, with a strong demonstrative ethos of follow up with meaningful communication. Humble, asks questions, retains information, proactively schedules, anticipates, plans for the needs of the CEO and business. Prompt communicator and flexibility to self redirect as needed should information, CEO or other factors not be at hand to resolve a topic, issue, task, project. Double, triple checks everything - electronic, communications, work, physical (ie. locks, etc.) Pleasant, positive disposition. Aspirations to learn about business, and all things as we engage. Presentable, dresses professionally. Does best to keep CEO on schedule. Listens, processes inputs. Has perspective when asked.

DESCRIPTION OF DUTIES

:

Provide administrative support for the Chief Executive Officer, including drafting correspondence and creating and maintaining organizational, reporting, systems processing, etc. Perform day-to-day administrative functions to include office support. Coordinate processes and activities for the purpose of creating and/or improving administrative support functions. Pro-actively manage calendar and coordinate meetings, including scheduling preparing materials and reports, attending meetings, and coordinating agendas and follow up items. Serve as the central contact and communications liaison, coordinating communications between the CEO and internal and external partners. Appropriately manage and communicate confidential or sensitive information. Conduct research on various topics. Responsible for keeping schedules and time, for self and CEO. Complete a variety of computer-based tasks related to documentation in the appropriate format, including but not limited to: typing correspondence, completing applications and data entry. Perform other duties as assigned

Ability to manage multiple priorities, projects and display flexibility in a fast paced and changing work environment. Sound decision-making skills and excellent professional judgment, including ability to handle sensitive and confidential information on a daily and ongoing basis. Ability to manage time and meet deadlines. Ability to maintain accurate records and necessary paperwork. Ability to maintain highest standards of confidentiality with regard to business, operational, financial, personal information and matters. Ability to effectively interact with diverse ethnic backgrounds, religious views, political affiliation, cultural backgrounds, life-styles and sexual orientations..

MINIMUM QUALIFICATIONS:



GED or High School Diploma required. Must have at least one year of administrative support experience. Must have a demonstrated history of capability in highly detail-oriented work. Must have a high tolerance for ambiguity and change. Must pass a pre-employment drug screen and background check. Must provide 2 professional and 2 personal references.
