Job Description

Position Overview:


The Administrative Assistant will provide high-level administrative and clerical support to attorneys and paralegals in the Tax, Estates & Business Practice Group. The ideal candidate is detail-oriented, highly organized, and capable of managing confidential client information with professionalism and discretion. This role supports daily operations including document preparation, client communications, case file management, and coordination of estate administration tasks.

Key Responsibilities:



Conduct initial client intakes and file opening process. Prepare, edit, and format legal documents including wills, trusts, estate planning documents, business formation documents, and correspondence. Manage attorney calendars, schedule client meetings, and coordinate conference calls and appointments. Open, organize, and maintain physical and electronic case files in accordance with firm procedures. Handle client intake, draft engagement letters, and manage follow-up communications. Coordinate execution of estate planning documents, including arranging for witnesses and notaries. Monitor and maintain tickler systems for deadlines related to tax filings, trust distributions, and estate milestones. Manage billing entries, review pre-bills for accuracy, and process attorney expenses. Provide administrative support for business entity formation and maintenance, including drafting minutes, resolutions, and annual reports. Maintain confidentiality of all client and firm information in compliance with firm policies.

Required Skills & Qualifications:



Prior experience in a law firm or professional services environment; experience in estate planning, probate, or tax preferred. Strong computer proficiency with Microsoft Office Suite, document management systems, and billing software. Excellent attention to detail, proofreading, grammar, and organizational skills. Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision. Professional communication skills, both written and verbal, with a client-service focus. Discretion in handling sensitive and confidential information.

Education & Experience:



High school diploma required; associate's or bachelor's degree preferred. Aderant and iManage experience is a plus Adobe Pro experience is a plus

Additional Attributes:



Strong initiative and problem-solving abilities. Ability to be proactive by reviewing calendars for upcoming deadlines and signings and preparing documents as needed. Ability to act as a liaison between attorneys, clients, financial advisors, and court personnel. Keen interest in long-term administrative support rather than paralegal track. Ability to adapt to technology changes and participate in trainings.
