We're searching for a task oriented, incredibly organized Executive/ Administrative Assistant for the Clinical Director at Women and Family Wellness Studio. The Executive / Administrative Assistant provides high-level organizational, administrative, and coordination support to the Owner/Clinical Director. This role is ideal for someone who is highly organized, detail-oriented, and proactive, with strong communication skills and comfortable managing multiple priorities. The Assistant will support the Clinical Director with ensuring smooth operations, effective communication, and timely follow-through across programs, community services, and outreach efforts. This position is primarily remote, with occasional in-person support in the Snohomish office and in the community. Responsibilities: Administrative & Executive Support o Email organization and management, including prioritizing messages and drafting responses o Maintain and coordinate calendars, meetings, and appointments o Assist with scheduling across multiple programs, workshops, and community commitments o Track tasks, deadlines, and follow-ups to support workflow and accountability o Create and send invoices for completed workshops and services o Prepare basic documents, notes, and summaries as requested o Support organizing mail and scanning into systems relevant documents Community Outreach & Service Coordination o Assist with community outreach to expand and support programming o Help coordinate community services offered by the agency o Communicate with families, partners, and community organizations as needed o Support logistics for workshops, classes, and public programming o Connect with team members and the community to raise brand visibility, draw in more clientele, and increase community awareness of services. Operations & Errands o Order office and program supplies o Run local errands as needed (printing, pickups, deliveries, etc) o Provide general operational support to ensure day-to-day efficiency o Inform team members about upcoming meetings, trainings, deadlines, and create agendas for team meetings Nonprofit Support o Provide administrative and coordination support for the development of a women's rights nonprofit o Assist with scheduling, logistics, and communications related to sex education and empowerment-based classes o Support outreach and organizational tasks connected to nonprofit initiatives Qualifications: o Extremely good organizational skills, excellent time-management, and follow-through skills o Excellent written communication skills, especially in email o Comfortable creating invoices and tracking basic administrative records o Ability to manage multiple priorities with discretion and professionalism o Knowledgeable of HIPAA o Ability to work independently in a remote environment o Technology savvy; basic knowledge of Microsoft 365 programs and ability to learn new programs quickly and troubleshoot common issues, as well as support team members with these issues as needed o Reliable transportation and the ability to meet in Snohomish as needed o Excellent in using standard office technology (email, calendars, shared documents) for optimization o Knowledge of streamlined software, ability to implement a plan for improved team member project collaboration, and strategic tracking and monitoring of projects and communication o Passionate about serving others in the community Preferred Qualifications: o Background in social services, behavioral health, nonprofit, or community-based work o Experience with community outreach, service coordination, or program support About Company: We are a trauma-informed behavioral health agency providing social services to high-risk families, along with public programming and community-based initiatives.
