Diamond Heating, Inc. is looking for a friendly, detail-oriented Administrative Assistant who's equal parts organized, personable, and just a little sales-savvy. You'll be the voice that customers hear first, the calm in the daily storm, and the one who helps our sales team stay on track.

Responsibilities



First point on answering phone inquiries, directing calls, and providing basic information Review voicemails and distribute information to necessary departments Update customer files as information is received Coordinate with multiple departments when necessary Schedule sales calls Pick up mail from Post Office and street mailbox daily, distribute as needed Help service department with Maintenance Agreements as needed Working closely with the owner, managers, and sales staff Taking memos, maintaining files, and organizing documents related to prospective jobs Create callslips for service calls, work orders and/or sales calls Dispatch service techs as needed Research/purchase items for retail sales Support owner and other team members to develop customer proposals Manage showroom as needed, including cashiering, and waiting on customers Develop and maintain necessary product knowledge Assist the team in executing all daily retail operations to ensure premium service and smooth store functioning Maintain cleanliness and organization of showroom Assisting with materials handling duties Process customer financing (back up for Sales Manager) Communicate with customers, subcontractors, and employees in written, verbal and phone to provide positive outcomes. Participate in admin meeting Complete new equipment product registration/warranty/file break downs Assist Install Coordinator in scheduling Final Mechanical Inspections Break down pallet shipments and distribute parts and packing slips to appropriate department Other administrative duties as assigned

Requirements


- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in computer software applications, including Microsoft Office Suite.
- Familiarity with QuickBooks is a plus.
- Excellent communication skills.
- Ability to work independently as well as part of a team.
- Strong attention to detail and problem-solving skills.
