Job Responsibilities

Reporting to the Associate Dean/Director of the Institute for Educational Renewal and Partnership, the Administrative Assistant provides administrative support with budgets, meetings and regulatory requirements and maintains websites and office systems for the Institute and Education Core Department.



Plans, coordinates and performs a variety of administrative support services including fiscal, procurement, data and supply functions. Maintains and tracks expenditures for multiple private, state and federally supported budget accounts. Creates budget and other reports upon request. Supports implementation of all Institute, department and grant-related activities and special events such as ensuring alignment with university and state-regulations, coordinating personnel activities, communicating with various units on campus and in professional communities and providing accurate record of activities (attendance, travel, etc.). Assists in scheduling, managing and creating communications for events. Provides executive assistance that includes scheduling meetings, preparing and maintaining meeting records and managing travel.

Minimum and Additional Requirements

Bachelor's degree and one year of responsible administrative experience; associate's degree and three years of responsible administrative experience; or high school diploma and five years of progressively responsible administrative experience. Knowledge of the principles, policies and practices of effective office management. Effective oral and written communication skills and the ability to manage communications between the university and local school personnel. Sufficient technical skills to master software required to perform job duties, including creating and maintaining multiple and varied databases. Ability to accurately track multiple state and federal budgets. Exceptional interpersonal skills and the ability to work collaboratively to establish efficient and effective systems for managing work in a high-traffic office environment. Ability to exercise discretion and work with confidential records. Exceptional organizational skills and the ability to prioritize tasks for accurate and timely completion.

Preferred Qualifications

Experience with hiring processes, state procurement, and budget and/or grant management. Proficiency with Microsoft Office. Experience with database management and website maintenance. Experience in a PK12 school or university setting desired.

Travel/Overtime Requirements: Some night and weekend event support is required.
