We are seeking a highly organized and detail-oriented Administrative Assistant to support our President in a fast paced office and warehouse environment. The ideal candidate will possess strong clerical and customer service skills, with the ability to manage multiple tasks efficiently. This role requires proficiency in various office software, excellent communication abilities, and a proactive approach to problem-solving. This position will serve as mainly the Assistant to the President who owns multiple companies in which assisting will be needed.
Responsibilities
Manage President Email
Make phone calls for President
Maintain organized filing systems for documents and records
Perform data entry tasks accurately and efficiently
Assist with calendar management, scheduling appointments, and coordinating meetings
Provide customer support by addressing client needs and resolving issues promptly
Utilize QuickBooks for bookkeeping tasks as needed
Prepare documents, reports, and correspondence using Microsoft Office and Google Workspace
Proofread materials for accuracy and clarity before distribution
Support office management tasks to ensure smooth daily operations
Collaborate with team members to improve administrative processes
Skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Strong organizational skills with the ability to prioritize tasks effectively
Excellent typing skills with attention to detail for data entry and documentation
Go get it attitude is a must
Above average decision making skills
The ability to communicate concisely and professionally
Familiarity with professional phone etiquette
Previous administrative or clerical experience is essential for success in this role
Strong customer service orientation with the ability to handle inquiries professionally
Time management skills to meet deadlines in a fast-paced environment
Experience as a personal assistant or in office management is advantageous
