P&A\'s Admin Team is the face of our company and is often the first point of contact for clients, whether over the phone or in-person. This is a full-time, in person, position that performs a variety of high-level administrative tasks to support the Billing Department, Remote Operations, and the general administrative day-to-day functions of the office in conjunction with the Office Manager. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Billing and Accounts Receivable support: a. Billing (creation of weekly and monthly invoices and specialized invoices) b. Accounts Receivable (credit card processing; generating monthly statements; preparing daily company deposit; entering all forms of payment into software; utilizing Adobe Acrobat Pro, Excel, Helcim, Outlook, and Practice CS on a daily basis) 2. IT Support: a. Assist Office Manager with IT Support for staff and clients, working with outside IT liaison b. Assist Office Manager with analyzing systems for improved efficiencies, including software research, implementation, and training on new and existing programs 3. Remote Staff support: a. Manage company cell phone for incoming client requests b. Promptly scan work as received from clients and distribute to appropriate staff member(s) c. Print client checks in Quickbooks 4. Perform billable client work for Admin Team clients using Quickbooks, Quickbooks Online and Excel 5. Client support: a. Back-up receptionist for incoming phone communication with clients b. Greets visitors, clients, and vendors c. Maintain communication logs d. Maintain client check inventory, coordinate check orders and perform regular audit of check room and safe e. Check Stamping 6. Archive Management support: a. Back-up client filing (physical and electronic) when necessary b. Work with Office Manager to release archives to clients after final review of materials 7. Facilities support: a. Assist Office Manager with calls to appropriate vendors for property management requests b. Assist with monthly, quarterly and annual testing of elevator, smoke detectors and general building infrastructure 8. Office Supplies/Inventory: a. Assist Office Manager with office supply purchasing and inventory tracking b. Work with Office Manager to ensure all supply areas are neat, orderly, and clearly labeled 9. General Team duties: a. runs daily errands including, but not limited to, banks and post office runs b. provide back-up support to Office Manager c. maintains neat and orderly appearance of office common areas NON-ESSENTIAL DUTIES AND RESPONSIBILITIES: 1.
