Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and route messages efficiently Maintain organized filing systems, both physical and digital, including data entry and document proofreading Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and document creation Support calendar management and appointment scheduling for team members or executives Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Provide excellent customer service by supporting client inquiries, managing customer support requests, and ensuring a positive experience for all visitors Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory Support office management activities to streamline daily operations and improve workflow efficiency



Proven experience in an administrative or clerical role with strong organizational skills Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Calendar), and basic computer literacy Experience with QuickBooks or bookkeeping software is preferred but not required Excellent phone etiquette with the ability to handle multi-line phone systems confidently Bilingual abilities are a plus to assist diverse client needs effectively Strong typing skills with high accuracy; attention to detail in proofreading documents Prior office experience in customer service or medical/dental receptionist roles is advantageous Demonstrated ability to manage time efficiently and prioritize tasks effectively Personal assistant or office management experience is desirable but not mandatory
