The PAC (political action committee) & Grassroots Coordinator ties together the vital functions of the association's advocacy work - raising funds for our political activities, reporting PAC receipts to state and federal election officials, planning events, and connecting lawmakers to our association's members. This position is essential to the success of the IBA's legislative and regulatory representation. The position will assist in other administrative duties as needed, to support the success of other departments including the IBA's corporate subsidiary.
Responsibilities
Work closely with the government relations (GR) and accounting team to accurately and timely collect, deposit, and allocate PAC funds - and to report these receipts and disbursements to elected officials.
Prepare and send necessary correspondence to elected officials, reporting agencies, and other entities related to PAC spending.
Support the GR team in planning and executing fundraising events throughout the year.
Plan and execute GR grassroots events, bringing together association members and elected officials.
Provide administrative support for the EVP, GR, in advocacy and other duties; to include travel planning, meeting coordination, and management of online meetings including Zoom.
Work with administrative staff to maintain association database.
Assist with preparing event materials.
Serve as scribe and meeting organizer for key association events and committee meetings.
Education and/or Experience Requirements
A high school diploma at minimum, with accounting, accounts payable/receivable, PAC accounting, or grassroots experience preferred.
Strong organizational, meeting planning and communication skills and the ability to work independently to start and finish projects.
Attention to detail and accuracy, along with strong time management methods, are highly desired qualities for this position.
Additional requirements include proficiency in Microsoft Office Suite, primarily Excel, Word, and PowerPoint. Prior experience in database entry and management preferred. This position will also be required to learn PAC reporting software.
The employee must have a valid Illinois drivers' license; mileage and reasonable travel reimbursement will be provided.
This position requires the employee to be able to be able to lift, move, and safely handle boxes and materials up to 25 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions of the position.
While the position is ideally based in Springfield, IL, candidates in the Chicago region will be considered.
Pay range: $45,000-$55,000 annually
