We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves managing front desk responsibilities, handling correspondence, and providing exceptional customer service to ensure smooth daily operations. The Administrative Assistant will play a vital role in maintaining an efficient and professional office environment, supporting team members, and assisting with administrative tasks across multiple departments.
Responsibilities
Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and courtesy
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Utilize Google Workspace for document creation, scheduling, and communication
Coordinate calendar management and schedule appointments or meetings efficiently
Handle correspondence via email and phone with excellent phone etiquette and customer support skills
Support office management tasks including supply ordering, organization of files, and maintaining office equipment
Provide clerical support such as typing reports, preparing presentations, and managing mail distribution
Maintain a professional environment by ensuring cleanliness and organization of the front desk area
Qualifications
Proven experience in an office environment or administrative role with strong clerical skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Strong communication skills including phone etiquette and customer service experience
Ability to handle confidential information discreetly and professionally
Office management experience or personal assistant background is advantageous
Demonstrated time management skills with the ability to prioritize tasks efficiently
