HKF Technology is seeking a highly organized, reliable, and detail-oriented Administrative & Operations Assistant to support senior management and the sales team in the electronic components business. This role combines traditional administrative responsibilities with hands-on operational tasks, including inspecting and preparing shipments at our Newark, DE locations.
Although primarily remote, this position requires frequent same-day travel to our facilities to assist logistics, receive and inspect packages, and support shipping operations.
Administrative Support
Assist day-to-day administrative requests.
Draft, track, and organize business correspondence.
Maintain calendars, reminders, and task lists for the team.
Prepare documents and reports using Word, Excel, PowerPoint, and other tools.
Manage shared folders, records, receipts, forms, and product documentation.
Send and read emails from customers, suppliers, and other stakeholders
Operational Support
Travel to Newark, DE locations on an as-needed basis (often same-day) to receive, inspect, document, and prepare products for shipment.
Coordinate with team members and logistics partners.
Proactive Team Support
Anticipate the team's needs and prepare materials or tasks in advance.
Communicate proactively to ensure smooth operations.
Handle ad-hoc assignments with flexibility and strong judgment.
Professional Conduct
Maintain confidentiality and handle sensitive information with discretion.
Work independently when needed while also collaborating effectively with the team.
Requirements
Minimum 5 years of administrative or operational support experience.
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, OneDrive); Google Drive experience is a plus.
Familiarity with communication and task-management tools such as WhatsApp.
Exceptional attention to detail in both administrative and operational tasks
Ability to travel to Newark, DE on short notice.
Authorization to work in the United States; HKF Technology does not provide visa sponsorship.
Compensation
Trial Period Salary (Gross Salary before Tax): $3,000 per month
Trial Period: up to 6 months
Benefits Eligibility: Access to the company benefits package is contingent upon the successful completion of the trial period and a satisfactory performance evaluation.
