Administrative Assistant to the Associate Head of School for Academics Position Description Summary
Canterbury School, a college preparatory, co educational boarding and day high school located in New Milford, CT, seeks an Administrative Assistant to the Associate Head of School for Academics. Reporting directly to the Associate Head of School for Academics, this full-time, year-round, benefits eligible position is responsible for providing overall support to the Academic Office. The Administrative Assistant will serve as a key member of a dynamic team, working within the larger context of the school\'s overall mission. The ideal candidate must have a minimum of two to three years of experience with clerical or administrative support within an office environment. Prior work in an educational environment is preferred but not required. Essential Functions and Responsibilities

  • Act as a first point of contact for the Associate Head of School for Academics, receiving and communicating incoming messages as well as maintaining the calendar of the Associate Head
  • Schedule interviews for faculty candidates, create and manage the interview schedule and coordinate with other departments and personnel as needed
  • Plan and execute Commencement Day ceremonies, including coordination with outside vendors, budget tracking, marketing and communication, and interdepartmental communication
  • Organize and run point with special events including new faculty orientation, opening and closing faculty meetings, honor society ceremony, and awards assemblies
  • Maintain faculty files including resumes, demographics, transcripts, appointment letters, and professional development information
  • Maintain a close working relationship with the public school system, specifically Titles II and IV eligible funds for professional development and educational opportunities.
  • Maintain communications and student files for the Director of Studies.
  • Work closely with Administrative Assistant for the Head of School on Faculty recognition events and as back-up person.
  • Order office supplies for the department.
  • Other tasks as may be assigned by Associate Head of School for Academics
  • Support the school and its leadership.
Position Requirements
  • Associates Degree in administrative support or a related field or demonstrated experience
  • Exceptional verbal and written communication skills
  • Mastery of Google Suite applications and ability to learn new databases
  • High level of organization and attention to detail with the ability to prioritize tasks and manage multiple ongoing projects at once
  • Excellent customer service skills
  • Discretion while working with sensitive information
  • Ability to anticipate the needs of the department and efficiently problem solve when necessary
  • Independent judgment and ability to establish priorities, work independently, and proceed with assigned objectives without supervision
Working Environment
  • The work environment is usually moderately quiet; however, variations in noise level may occur when employee attends school functions such as assemblies and other events
  • The environment may be stressful and hectic at times with frequent interruptions, multiple distractions, and changing priorities
  • This position is primarily performing duties in a typical office setting and thus is exposed to minimal adverse working conditions
