Position: Administrative Assistant The Company: World Energy Sustainable Products is a leader in North America\xe2\x80\x99s low carbon advanced biofuels industry with production and distribution capabilities. The company operates in Hamilton, ON, Rome, GA, Natchez, MS, and Harrisburg, PA. This position is based in Natchez, MS at the World Energy Natchez facility. Job Summary: The Administrative Assistant provides administrative support to all areas of the facility. Performs administrative functions under the direction of the Plant Manager and Assistant Plant Manger as well as adheres to all safety and environmental procedures, policies, rules, and regulations to protect the employees and public safety. Primary Job Duties:

  • Screens and directs incoming calls and visitors
  • Generates purchase orders and verifies goods and services received
  • Pull weekly invoices for approval
  • Reconcile monthly credit card purchases
  • Enters all purchase order and invoice data in purchase order tracking sheet
  • Inventory management: orders, maintains, and distributes office supplies and plant consumables
  • Prepare communications such as memos, emails, and other correspondence as needed using Microsoft Office software
  • Communicate clearly and professionally with vendors, suppliers, and service providers.
  • Checks plant mail and distributes
  • Administrative support functions for the facility
  • Participates as needed in special department projects
  • Provide day to day administrative support to members of the team
  • Logistics backup for all BOL\xe2\x80\x99s and truck weights
  • Tracks all deliveries and tally\xe2\x80\x99s them to track logistics contracts
  • Coordinate office services
  • Perform special projects as needed
  • Works closely with human resources to maintain up to date information in the plant
  • Conduct weekly inventory of PPE and safety supplies and make orders as needed
  • Keep all office documents organized and stored in designated location
  • Track and issue employee boot vouchers. Ensure yearly submissions do not exceed allotted amounts.
Scope of Responsibility This position operates from established and well-known administrative procedures, performing duties under general direction with minimum supervision. The Office Manager must perform work in a safe manner and while typically at the assigned front desk for most of the day. Working Relationships The Administrative Assistant reports and receives direction from the Plant Manager/Assistant Plant Manager and during the general course of business assists, coordinates and supports other facility managers and fellow employees. Working Conditions Business casual with minor, local travel for errands as needed. Mileage reimbursement paid by the company. Requirements:
  • Two years Office Administrative Assistant, High school diploma or GED required.
  • Demonstrate the ability to organize and control flow of work in a fast-paced production facility.
  • Knowledge of Microsoft office, team player and excellent organizational skills.
  • Self-motivated, flexible person that can easily adapt to change.
  • Must be able to manage competing priorities from various individuals.
  • Shipping and Receiving experience a plus
Physical Requirements and Working Conditions
  • Physical requirements include working on feet and/or sitting for extensive periods and lifting up to 50 pounds.
  • Protective equipment such as hard hats, safety glasses and ear protection will be required when in process areas.
  • This position is a standard 8-hour workday position with the possibility of overtime or weekend work if required by workload.
