Job Summary


The Miami Woman's Club, a non-profit organization seeks a reliable Administrative Support professional to handle day-to-day operations, logistics coordination, and internal communications. This role is essential for maintaining smooth club operations and supporting board activities. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong computer skills and have experience in office management, clerical duties, and customer service. This role requires excellent communication abilities, both verbal and written, as well as proficiency in various software applications. The Administrative Assistant will support daily operations by managing schedules, handling correspondence, and ensuring efficient office procedures.

Responsibilities



Manage front desk operations, greeting visitors and handling inquiries with professionalism. Report to Club President and provide administrative support, when needed, to board members. Manage club contact databases and member information Perform data entry tasks accurately and efficiently, including filing and maintaining organized records. Assist with calendar management, scheduling appointments, board travel and coordinating meetings. Coordinate club rental inquiries, confirmations, and logistics for facility use Provide administrative support to board members, including proofreading documents and preparing reports. Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and Canva presentations. Maintain inventory of office supplies and place orders as necessary to ensure smooth operations. Prepare materials for board meetings and member events Assist with bookkeeping tasks as needed, including basic accounting functions using QuickBooks. Requirements



Proven experience in an administrative role or similar position with a strong background in office management. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and Google Workspace applications. Familiarity with QuickBooks for bookkeeping tasks is preferred but not mandatory. Strong organizational skills with the ability to manage multiple tasks effectively while meeting deadlines. Excellent typing skills with attention to detail for accurate data entry and documentation. Previous experience as a n administrative assistant or higher is required Strong interpersonal skills with a focus on customer service excellence. Ability to maintain confidentiality while handling sensitive information in a professional manner.
