Administrative Assistant
to support our accounting team with day-to-day financial and administrative tasks. This role is critical in keeping workflows moving, reducing administrative burden and improving efficiency across the accounting team.
The ideal candidate is organized, adaptable, and comfortable supporting multiple priorities in a fast-paced, high-volume, deadline-driven environment. This role is well-suited for someone early in their accounting career with strong administrative experience.
This is a Full-Time Hybrid Position (Madison Office T/TH, remote M/W/F)
Key Responsibilities
Accounting Support
Download, organize and upload invoices (utilities, vendors, recurring expenses)
Assist with accounts payable tasks, including invoice coding and entry
Support bank and credit card activity preparation
Assist with month-end close tasks as assigned
Help maintain organized client files and documentation
Flag missing, duplicate or unusual transactions for review
Acquisition & New Location Coordination
Coordinate acquisition-related onboarding for new client locations, including setup tasks, data entry, documentation tracking and follow-up to ensure smooth and timely activation
Gather required information for new entities and locations
Assist with adding new locations into accounting systems and internal trackers
Support accounting managers during periods of client growth and acquisitions
Administrative & Operational Support
Assist with client onboarding and offboarding checklists
Track and follow up on missing documentation and outstanding items
Maintain internal trackers, tasks lists, and status updates
Provide backup support to accounting staff during peak periods
Special Projects
Assist with special projects across accounting and operations, including process improvements, data cleanup and workflow support as needed
Qualifications
Associates in Accounting, Finance or related field (or equivalent experience)
1-3 years of accounting, bookkeeping or administrative experience
Experience with accounting software (e.g., Restaurant365, QuickBooks, or similar)
Experience supporting multiple clients or departments
Strong attention to detail and organizational skills
Ability to manage multiple tasks and deadlines
Comfortable working with financial and operational data
Proficiency in Excel and cloud-based tools
Clear written and verbal communication skills
