Elgee Rehfeld, LLC, is seeking an Administrative Assistant to join our team. Elgee Rehfeld, a Southeast Alaska based full service certified public accounting firm, with 30+ years of experience, provides industry-focused assurance, tax, and advisory services for private, non-profit and government clients.
Position Description
The Administrative Assistant plays a key role in supporting daily operations through a wide range of administrative responsibilities, including client communication, scheduling, document handling, and support for both staff and Partners. As a front-facing member of our team, this position helps shape the firm's first impression--often serving as the initial point of contact for clients--and works closely with our Office & Client Relations Coordinators to ensure professionalism and responsiveness in every interaction. This fast-paced, varied position is ideal for someone who enjoys managing multiple priorities while contributing to both the client experience and internal office culture through reliability, organization, adaptability, and a strong service-oriented mindset. Specific Responsibilities
Reception & Client Interaction
Serve as the first point of contact for clients--greeting visitors, answering phones, routing and taking notes as needed, and responding to emails
Take client payments over the phone or in person
Schedule client meetings and coordinate with clients and staff
Send client reminders, newsletters, and seasonal bulk mailings
Maintain firm email inboxes and route emails to appropriate staff
Maintain a welcoming and organized front office and conference area
Document Handling, Supplies, & Office Maintenance
Maintain confidentiality when handling personal and sensitive information
Scan, route, and return client tax documents
Route various forms to the appropriate staff
Maintain and update client files in internal systems, as well as physical documents
Monitor and restock office supplies, tax forms, and kitchen items as needed
Mail, Errands & Deliveries
Manage daily mail handling, including sorting and maintaining internal mail tracking log
Assist with routine errands and occasional seasonal deliveries as assigned
Staff & Office Support
Support internal communication, including conference room reservations, training arrangements, and lunch order coordination
Maintain the firm's Continuing Professional Education (CPE) database
Assist staff with administrative tasks and help acquaint them with internal processes
Coordinate service calls as needed and maintain tidy shared spaces
Qualifications and Competencies
Required
Strong written and verbal communication skills
Valid Alaska driver's license and reliable transportation
Professional demeanor and discretion when handling sensitive information
Ability to go up and down stairs multiple times a day, lift up to 30 lbs., and remain seated at a desk for extended periods
Familiarity with general office procedures (e.g., multi-line phone systems, filing, office equipment such as copiers, scanners, printers, and computers)
Preferred
Experience in an administrative, customer service, or office support role, particularly in a professional services environment
Acquainted with Microsoft Office products and Adobe Acrobat
Strong aptitude for learning new software, internal systems, and adapting to new processes
Competence for organization, attention to detail, and the ability to manage multiple tasks efficiently

Pay: $21.00 - $26.00 per hour
