We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various software tools. Prior experience in office administration, clerical tasks, or customer support is highly valued, along with bilingual capabilities being a plus. The position involves handling a variety of administrative duties to ensure smooth daily operations and effective communication within the organization.
Duties
Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to maintain accurate records
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation, editing, and collaboration
Schedule appointments and manage calendar for staff members, ensuring efficient time management
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Provide customer service support by responding to inquiries via phone or email and supporting client needs
Support office management tasks such as supply ordering, mail distribution, and maintaining office organization
Handle clerical duties including typing correspondence, maintaining files, and supporting administrative projects as needed
Maintain professional phone etiquette while managing incoming calls on multi-line systems
Skills
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or other bookkeeping/accounting software preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional communication skills, including phone etiquette and customer service, experience with familiarity in clerical work and administrative support roles
Ability to perform data entry accurately and efficiently while maintaining attention to detail
Capable of managing calendar appointments and supporting personal assistant duties if required
Strong proofreading skills for document accuracy and professionalism
Time management skills to handle multiple responsibilities simultaneously in a fast-paced environment
