We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
Handle multi-line phone systems, screen calls, take messages, and provide excellent customer support
Perform data entry, maintain filing systems, and ensure accurate record-keeping using digital tools like Google Workspace and Microsoft Office
Assist with financial processing; accounts receivable/payable, statement preparation/disbursement
Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
Support office management tasks including supply inventory, order processing, and general clerical duties such as proofreading and document preparation
Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting clients and customers as needed
Maintain organization of files, perform regular updates to records, and ensure compliance with office procedures
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience with CRM's/management software is a plus.
Strong organizational skills with the ability to multitask effectively in a busy environment
Excellent phone etiquette and communication skills.
Experience with office management software such as QuickBooks for bookkeeping and invoicing
Proven clerical experience including data entry, filing, proofreading, and calendar management
Familiarity with multi-line phone systems and front desk procedures
Exceptional time management skills to prioritize tasks efficiently while maintaining attention to detail
Knowledge of property management receptionist duties is advantageous but not required; personal assistant experience is also valued
