Summary



We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This full-time, on-site role will report directly to the Sales Manager and contribute significantly to our sales department and overall company operations. The ideal candidate will enhance the effectiveness of our sales teams and improve client relations through excellent communication, teamwork, and a positive, problem-solving mindset.

Duties and Responsibilities



Uphold the company's Core Values daily. Work collaboratively with our Operations Administrator, Transaction Coordinator, and sales teams. Effectively support our various sales teams: Client care and database management Closing and listing coordination Buyer agent collaboration Transaction coordination Managing leasing applications Coordinating rental showings with showing agent Signing leases Posting rental listings Verifying pre-move-in checklist completion Provide administrative support for service sales: transactions, client communication. Support new client onboarding in coordination with the Sales Manager by managing key tasks and collecting required documentation from contract signing through the official management start date. Manage and maintain social media accounts for our family of brands: create and schedule engaging content to support brand awareness, client engagement, and marketing goals. Provide support to the Controller by assisting with miscellaneous finance and administrative tasks, such as data entry, document organization, invoice processing, and basic reporting as needed. Manage file maintenance and storage. Coordinate sales training, events, facility readiness, and calendar invites. Undertake other duties and special projects as assigned.

Required Skills/Experience



Excellent communication skills: verbal, written, digital, and interpersonal. Ability to effectively develop, monitor, implement, and execute organizational processes. Ability to problem-solve, think critically, and make independent decisions. Able to work independently and manage multiple projects at once. Ability to stay organized and efficient, and assist others in doing the same. Technologically proficient: adapt easily to new technology and applications.

Compensation & Benefits



$42,500 - $47,500 Health insurance 401(k) w/ 3% employer contribution Employer contributions for Social Security, Medicare, Unemployment Insurance, and Worker's Compensation Paid Time Off (PTO): available upon supervisor approval Reimbursement for family health memberships, classes, and events up to $500/year
