About the
Department of Insurance:
The Indiana Department of Insurance protects Hoosiers as they purchase and use insurance products to keep their assets and their families from loss or harm. The IDOI also monitors the financial solvency of insurance companies in Indiana so that legal promises in insurance policies are honored.

Salary Statement: This position traditionally starts at an annual salary of $37,648 but may be commensurate with education and experience.
Role Overview
: The Administrative Assistant is responsible for applying statutes and program requirements and providing excellent customer service. The Administrative Assistant will need to navigate multiple databases efficiently and work with IT vendors. Some key functions of this role include:
  • Prepare and maintain administrative reports, policies, and procedures for Dedicated Funds area
  • Aid Dedicated Funds Director, three Program Specialists, and Medical Malpractice Panel Specialist in program needs
  • Receive and review filing fees received from attorneys and pro se\'s and verify amount is correct; add to Med Mal Payment log and prepare daily deposit worksheet
  • Process provider enrollments: verify license number/status, ISO/license type correlation, verify provider\'s name via IPLA and InBiz, and check to see if provider is already in the database. Communicate w/ filer to obtain all required information, copy/paste information in database and notify filer of Provider ID#
  • Process paper corticates: review for accuracy, calculate surcharge, communicate with filer, facilitate payment/credit, and document
  • Assist with Dedicated Funds monthly report, quarterly and annual reports



About the Job:


As the Administrative Assistant, you will be responsible for working within an office environment to support your agency performing the required tasks to complete the position\xe2\x80\x99s responsibilities. In this position, you will be required to have some background in an office environment using established procedures. In this role you may be working independently, performing various responsibilities, and providing a wide range of functions.

A Day in the Life:


The essential functions of this role are as follows:
  • Prepare and maintain administrative reports, policies, and procedures for different program areas.
  • Responsible for all administrative activities such as sorting mail, ordering supplies, and processing travel.
  • Schedule and maintain calendars for meetings, travel, and activities.
  • Prepare information and take notes for meetings as needed.
  • Answer and direct incoming correspondence to the appropriate individual.
  • Aid departments in program needs.
  • Lead or assist on a variety of projects.

What You\'ll Need for Success:


You must meet the following requirements to be considered for employment:
  • General knowledge of the basic principles and practices of administrative management.
  • Effective communication skills.
  • Ability to prioritize work and project time for accomplishing activities.
  • Ability to establish cooperative work relationships with a variety of stakeholders
  • Working knowledge of and ability to use Microsoft Office to include Word, Excel, PowerPoint, and Outlook.
  • Ability to update and write procedures and policies.
  • Ability to coordinate activities.


Supervisory Responsibilities/Direct Reports:
