Job Description

Basic Function

Under the direction of the Administrative Manager, provide a wide range of office support functions for the Assessing Department. Perform a variety of general and skilled administrative tasks within established Assessment Department guidelines. Assist and back-up senior administrative staff and assist the Administrative Manager with administrative functions, various projects, and workload requirements. Perform tasks related to homeowner exemption programs.

Typical Duties

1. Serve as department receptionist; answer phones, screen calls, take messages, and direct to the appropriate person and/or provide requested information relating to real property, exemption programs, and the Assessing Department functions.
2. Greet and assist visitors at the counter, determine nature of business, and ensure a timely response to requests for service and information or direct to the appropriate party/division/department/agency. Assist the public with instruction on how to use the assessing self-help database tools, as well as the online GIS and property search page to acquire needed information.
3. Maintain manual, digital, and computerized assessment and land ownership records. Research new addresses, prepare and process change of address forms, and assist with administering certified bulk mailings.
4. Explain homeowner exemption program information to property owners to include eligibility requirements and deadlines for application according to State Statutes and FNSB Code. Assist property owners with completing exemption applications. Research existing exemption applications, address changes and returned mail. Assist with maintaining exemption checkbacks, process, and input exemption data in the Aurora CAMA program.
5. Serve on the department web page team; collaborate and assist with updating and maintaining content.
6. Cross-trained and serves as back-up for Administrative Assistant II; back-up functions include timekeeping, procurement activities, assisting with the preparation of Board of Equalization documents and updating tasks in the Wrike project software system.
7. Maintain an updated and accurate desk manual.
8. Other duties assigned within the scope of assisting assessing staff with continued continuity of operations.

Position Requirements

MINIMUM QUALIFICATIONS:


1. High school diploma or equivalent and two (2) years of progressively responsible office administrative experience in a customer service setting.
2. Demonstrated ability to operate a personal computer and utilize a variety of computer programs (Microsoft Word & Excel are required, Outlook & GIS preferred). Type at an accurate and proficient level. Ability to operate a variety of office machines (copier, scanner, fax, multi-function phones, printers, etc.). Operate a 10-key calculator with proficiency.
3. Work related experience in a field indicating familiarity with property title and descriptions.
4. Timekeeping and purchasing experience preferred.

KNOWLEDGE, SKILLS, AND ABILITIES


1. Demonstrated ability to comprehend and carry out oral and written instructions, to apply State Statutes and FNSB Code governing Assessing Department to varied situations, and to perform work in a timely and orderly manner.
2. Demonstrated ability to work effectively and courteously under stressful situations with the public, other organizations/agencies, and other staff members. Ability to maintain confidentiality of information.
3. Must be capable of functioning with minimal direction and perform work in an organized and professional manner, sometimes under stressful situations and short deadlines. Ability to maintain effective working relationships.
4. Must possess strong communication skills.

WORK ENVIRONMENT:


General office where conditions are pleasant; good, clean working conditions where accidents/hazards are negligible; requires short periods of light lifting, pushing or pulling (1-25 lbs.).
