What You'll Do

Effectively assists in the day-to-day operations of the department(s) and provides administrative support to the department leadership.
Performs a variety of administrative support functions specific to a department(s) including, but not limited to, preparing, editing and distributing correspondence, reports, forms and documents; answering and re-directing inquiries and correspondence; scheduling meetings; providing telephone responses; filing and copying.
Work with managers to monitor contracts, keep specifications updated, track balances and monitor service area budgets. Works with MPRB and City of Minneapolis Procurement process for bids, new contracts, and other finance items-this may include resolutions, gathering multiple bids.
Participate in a variety of administrative tasks, including budget preparation, monitoring expenditures, ordering supplies, processing requisitions, processing payroll and accounts payable.
Coordinate recognition/award program.
Manage the department training plan, coordinate registrations and payment, and track job requirements.
Assist with hiring including scheduling interviews, conducting reference checks, coordinating with HR and hiring managers for all proper hiring paperwork. Coordinate onboarding and tracking of new employees.
Track data as requested by the department Directors.
Maintain calendars and coordinate, arrange and schedule meetings, including preparing the agenda, taking and preparing meeting minutes for distribution, making travel arrangements and reservations, etc.
Function as a liaison between professional staff and the general public or other agencies.
Maintain and supervise the maintenance of a variety of records and files.
Courteously respond to the public inquiries as needed in areas of responsibility.
Perform other duties and special projects as they become apparent or are assigned.

Need to Have:
Associates Degree or Business Certificate from an accredited college with courses in business administration, office technology, or related field.
Administrative support experience: three (3) years.
Combination of education and experience may be considered.

Structure and content of the English language including the meaning and spelling of words, rules of composition, grammar, and math.

We rate your training and experience based on application materials and supplemental questions (30%).
We conduct a structured panel interview (oral exam) (70%) tentatively scheduled for December 22, 2025.
We calculate your civil service score based on the above components and place you on the eligible list if all testing components are passed (passing score for each component and as an overall score is 70.00 or above). Eligible list will expire in three (3) months.
We refer the top finalists to the hiring manager for an interview.
