Ho'oahna Counseling is a mental health group practice established back in 2019. It is a locally run and operated practice that now has three different locations, and is continuing to grow. Our team is made up of counselors, medical billers, and administrative assistants. We are currently seeking a detail-oriented and proactive Administrative Assistant to join our team. You will be hired on as a contracted employee, can work remotely and hours are flexible. This role is crucial in supporting daily office operations and ensuring efficient workflow. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing exceptional customer service to all our patients. This position involves managing front desk responsibilities, handling multi-line phone systems, and assisting with various administrative tasks.
Duties
Manage front desk operations with professionalism and courtesy
Answer and direct calls using a multi-line phone system, ensuring effective communication
Assist in calendar management, scheduling appointments, and coordinating meetings
Perform data entry tasks accurately and efficiently, maintaining organized records
Handle filing, proofreading documents, and ensuring all paperwork is up to date
Provide customer support by addressing inquiries and resolving issues promptly
Manage office supplies inventory and assist with procurement processes
Collaborate with team members to streamline office management processes
Maintain confidentiality in handling sensitive information
Skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Strong computer literacy with the ability to learn new software quickly
Excellent organizational skills with a keen attention to detail
Effective time management capabilities to prioritize tasks efficiently
Previous experience in clerical health administrative roles preferred
Familiarity with medical receptionist duties is advantageous
Strong typing skills with the ability to produce accurate documentation quickly
Demonstrated phone etiquette and customer service experience
