We are seeking a highly organized and professional Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various software tools. The position involves handling administrative tasks, managing schedules, and providing exceptional support to team members and clients alike.

Duties



Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization of records Utilize Microsoft Office Suite, Google Workspace, and other computer literacy tools for report generation, correspondence, and scheduling Coordinate calendar management and appointment setting for staff members Handle bookkeeping tasks using QuickBooks or similar accounting software Support office management activities such as supply ordering, mail distribution, and maintaining office equipment Provide customer support via phone or email, ensuring excellent phone etiquette and timely responses Assist with personal assistant duties as needed, including travel arrangements or special projects Maintain organized records of client information, billing, and other administrative documents

Skills



Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively Excellent written and verbal communication skills; bilingual abilities are a plus Experience with office management systems, multi-line phone systems, and front desk operations Clerical experience with data entry, filing, proofreading, and calendar management Knowledge of QuickBooks or bookkeeping software is desirable Demonstrated customer service skills with professional phone etiquette and support capabilities Ability to handle multiple tasks efficiently while maintaining attention to detail Familiarity with medical or dental receptionist duties is advantageous but not required Strong time management skills coupled with the ability to adapt in a fast-paced environment
