Resilience Therapy is currently seeking an administrative assistant in Grand Rapids, MI.

Resilience Therapy LLC is a Black Woman owned, BIPOC-centered, trauma-informed clinical group practice providing insurance-based counseling services, EMDR therapy, and premium EMDR Intensive programs. We serve diverse clients seeking clarity, healing, and transformation. Our environment is warm and supportive, but also direct, structured, and fast-paced. We are seeking an Administrative Assistant who is

independent, proactive, detail-oriented, and comfortable with direct communication.

You must thrive in an environment where expectations are clear, feedback is straightforward, and efficiency matters.

Qualifications:



Background in Business Administration, marketing, social work or relevant field a plus Proficiency in personal and professional schedule management Mental health or medical scheduling Insurance verification Trauma-informed or culturally responsive communication Fast paced environments, ongoing tasks Supporting multiple clinicians Working in environments with clear expectations and minimal fluff Exceptional organizational, communication, and interpersonal skills Proven problem-solving abilities and time management skills

Compensation:



18.00 - 24.00 per hour

We need Quality Administrative Assistant that:



Experience in a therapy, medical, behavioral health, or similar regulated setting Strong understanding of HIPAA and client confidentiality Ability to work effectively within a BIPOC-centered, trauma-informed environment Comfortable receiving direct, concise feedback without defensiveness Independent worker who takes ownership and does not require constant supervision Organized, accurate, and detail-oriented to track key dates, avoid costly mistakes, keep the right people informed, and support efficient workflow Able to change gears quickly with a positive, steady, team-player attitude Self-starter who is self-guided, thorough, and able to comply consistently with organizational policies Enjoys being themselves in a supportive environment and appreciates a flexible schedule Undertakes research or information-gathering to support decision-making when needed Comfortable with task delegation and follow-up, ensuring tasks are completed and accountability is maintained Brings creative and grounded ideas that enhance workflows, client experience, and team efficiency Excellent verbal communication and documentation skills Fast and accurate typing Emotionally grounded and able to calmly support clients experiencing distress Tech-savvy and able to learn new platforms quickly

What You'll Do



Client Communication & Front Desk



Answer phones and emails with warmth, clarity, and professionalism Support clients with scheduling, intake, and general questions Maintain emotional regulation and provide a grounded first impression Protect confidentiality and uphold HIPAA standards at all times

Insurance-Based Administrative Support



Verify insurance benefits accurately Communicate coverage, copays, and financial expectations clearly Support clinicians with insurance-related administrative needs

EMDR Intensive Program Support



Manage consultation scheduling for intensives Support logistical coordination for intensive clients

Practice Operations



Follow established administrative workflows and checklists Keep systems organized, updated, and functioning smoothly Take initiative and complete tasks without repeated reminders Attempt to resolve questions independently using resources and team support, and only escalate to the supervisor when necessary Maintain strong follow-through and attention to detail Additional duties
