Key Responsibilities
Client & Front Desk Operations
Serve as the primary welcoming point of contact for clients and visitors
Greet, assist, and direct visitors to the appropriate party
Manage and answer the main company phone line
Ensure company voicemail is checked daily and messages are relayed promptly
Agent & Staff Support
Act as liaison between McCoy Realty Group and new hire agents
Coordinate onboarding and off-boarding processes for agents and staff
Prepare welcome packets and onboarding materials
Provide wire instructions and requested documentation as needed
Assist agents with basic technology and office-related needs
Onboarding, Access & Workspace Setup
Coordinate computer, phone, and workstation setup
Manage building and office access for staff and agents
Set up workstations, training rooms, and conference rooms as needed
Office Operations & Facilities
Manage daily mail pickup and delivery
Maintain and restock public restrooms and office breakroom supplies
Coordinate with vendors for office services and miscellaneous tasks
Seek vendor opportunities and assist with vendor preparation
Marketing, Outreach & CRM Support
Coordinate marketing mail-outs
Make outbound calls from CRM to prospective clients
Conduct follow-up and feedback request calls
Meetings, Events & Recruiting
Assist with recruiting presentations and materials
Attend corporate meetings as required
Coordinate and support internal office events and meetings
Qualifications
Prior experience in office administration, client services, or front-desk operations preferred
Strong communication and interpersonal skills
Highly organized with strong attention to detail
Comfortable managing multiple priorities in a fast-paced environment
Proficient with basic office technology, phone systems, and CRM platforms
Professional demeanor with a customer-service mindset
