DSU is seeking to hire an

Administrative Assistant for Admissions

. The purpose of this position is to support the Office of Admissions through campus visits, application processing, student communications, and critical office administration procedures.


MINIMUM QUALIFICATIONS/REQUIRED COMPETENCIES:

High school diploma Four (4) years of directly related work experience (education may be substituted for experience i.e. if the applicant has an associates degree, only two (2) years of directly related experience is required; if the applicant has a bachelors degree, no directly related work experience is required) Able to provide excellent customer service Able to function independently in a fast-paced environment and be very flexible Proficient in word processing, spreadsheet applications, text, web applications and email Advanced organizational skills needed to set priorities and meet deadlines Detail oriented; ability to multitask Excellent oral, written and interpersonal skills Able to handle sensitive and confidential situations Able to provide excellent customer service


PREFERRED QUALIFICATIONS/COMPETENCIES:

1 year experience in post-secondary educational environment Campus Solutions experience Target X or Salesforce experience Perceptive Content experience


DUTIES/RESPONSIBILITIES:

Coordination of admissions activities related to incoming applications and student requests + Review and process all incoming applications through the Student Information System, CRM, and Document Imaging systems
+ Receive and process incoming documents related to the admissions process including transcripts, test scores, immunizations, etc.
+ Assist in maintain an accurate database of students in the CRM including investigating and deleting duplicates, updating information, etc.
+ Coordinate the deferral and cancellation process of student applications
+ Coordinate the student appeals process
+ Serve as the first point of contact for prospective students
+ Communicate with students and families about the status of their applications, and any required documents
+ Serve as back up for admissions counselors during travel season and other busy times
+ Supervise student employees who are engaged in the admissions process
+ Coordinate with Student Success advisors through the New Student Registration process
+ Represent DSU and the Admissions Office at recruitment events and outside meetings
+ Assist the Director with Dual Credit and Early Entry procedures
+ Assist with all graduate applications and materials processing
+ Process all continuing education applications
+ Provide support to the International Admissions unit through processing and communications
+ Monitor applications for yield and melt
+ Assist with admissions strategy creation and planning
Coordination of all incoming student and family visits + Serve as the first point of contact with all incoming visit requests
+ Manage all TargetX forms for registering individual and group visits
+ Coordinate individual student visit requests with tours, admissions information, and requested staff, faculty, and coaches
+ Coordinate group visits with tours, admissions information, and requested staff, faculty, and coaches
+ Track all visits (individual and group) through CRM, and report on visit activities
+ Coordinate with Student Ambassadors and their advisors to incorporate them in visits through tours, student panels, etc.
+ Communicate with all visitors pre- and post-visit
+ Coordinate with athletics and the coaching staff to ensure compliance with all recruiting requirements
+ Train student employees and ambassadors on the visit and tour processes
+ Assist students in starting the application process through official and walk-in appointments
Provide operational support for the Admissions Office + Coordinate the "run of house" in the admissions office
+ Serve as the main point of contact for the general admissions email, voicemail, UChat, and texting numbers
+ Handle all incoming calls and requests
+ Track all budgets for admissions and international admissions
+ Send out recruiting materials to prospective students and schools
+ Perform other data entry processes not described in other duties
+ Coordinate the scheduling process of conference rooms, classrooms, and other locations needed for admission activities
+ Monitor social media platforms, and look for engagement activities
+ Other duties as assigned
Physical demands include + occasional climbing or balancing, stooping, kneeling, crouching, or crawling, tasting or smelling,
+ frequent standing, walking, sitting
+ continuous use of hands dexterously, as well as reaching with hands and arms, talking and hearing,
+ the ability to lift or carry
- up to 25 pounds frequently,
- up to 100 pounds occasionally,



COMPENSATION PACKAGE:

Salary of $38,000-41,000/annually, commensurate with qualifications and experience Comprehensive fringe benefits, including, but not limited to: + 100% employer-paid health insurance (family or single coverage)
+ NDPERS retirement
+ Tuition waiver benefits, for employee and spouse/dependents
+ Possible eligibility to participate in the Public Service Loan Forgiveness Program with the US Department of Education.
