Job Description

Child Focus seeks a highly organized and detail-oriented Development --Administrative Assistant to support the organization's fundraising and leadership operations. This role provides critical administrative, data, and scheduling support to ensure the smooth functioning of the development team and executive leadership. The ideal candidate is proactive, tech-savvy, and committed to advancing Child Focus's mission through excellence in organization, communication, and donor support.

Key Responsibilities



Development & Donor Support

Support the fundraising team in managing donor data, gift entry, acknowledgments, and stewardship communications. Perform accurate and timely data entry and database maintenance to ensure integrity of donor records. Assist with mail merges for donor correspondence, campaigns, and event invitations. Generate reports, queries, and mailing lists for development activities and leadership review. Help coordinate logistics for donor meetings, cultivation events, and fundraising campaigns. Research prospective donors and help prepare briefing materials for meetings and solicitations. Ensure all donor interactions are accurately logged in the database, with consistent tracking and follow-up of stewardship activities..

Administrative & Calendar Management

Provide calendar management and scheduling support for the Executive Director and senior leadership staff, including meeting coordination and reminders. Track project timelines and coordinate internal deadlines across teams. Manage general development email inquiries and ensure timely responses. Assist with the coordination of grant submission, tracking deadlines, and maintaining supporting documentation.

Office & Team Support

Maintain organized digital and physical files for development and administrative functions. Support vendor coordination for fundraising events and campaigns. Assist with general office operations, supplies, and communications as needed. Serve as a reliable liaison between leadership, staff, and external partners. Provide seasonal support as needed for program data entry, analysis and reporting functions.

Qualifications



2+ years of experience in nonprofit development, administrative support, or related field. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM or donor database systems. Experience with mail merge, data entry, and information management required. Excellent organizational skills and attention to detail. Strong written and verbal communication abilities. Ability to handle sensitive information with discretion. Collaborative, service-oriented mindset and commitment to Child Focus's mission.
Job Type: Full-time

Pay: $48,000.00 - $58,000.00 per year
