We are hiring an Administrative Assistant to provide administrative support for operational and project-related activities in Denver, CO.




Main Responsibilities:




Answer and respond timely to customer, vendor, and technician emails. Answer calls for the gas meter department. Verify daily's and timesheets. Update spreadsheets and send to the correct destinations. Oversee multiple Meter Technician's daily paperwork. + Verify gas meter information on gas meters that were set the previous dayCross-check the gas meter information on the Technicians' dailiesCreate and close orders in the Xcel system
+ Enter gas meter information in the Xcel system
Call customers for appointments to bring meters up to Xcel standards. Call builders for information for new gas meter installations. Do reminder calls for appointments. Send work orders to Technicians for next day's work. Handle and problem solve misc. Xcel issues that come up. Create spreadsheets for jobs. Assist with basic IT issues. Assist with questions in Xcel systems.

Required Qualifications:




High school diploma or equivalent. Must be bilingual. Must be able to work 9am - 5pm, Monday through Friday. 1+ year professional administration and/or customer service. Ability to operate office equipment such as fax machines, copiers, and phone systems. Independent judgment to plan, prioritize, organize diversified workload, and recommend changes in office practices or procedures. Effectively manage multiple tasks or projects with competing deadlines and produce accurate results with a proper sense of urgency for customers and co-workers. Proficiency in Microsoft Office, specifically Excel and Word. Prepare spreadsheets to calculate amounts such as cumulative invoicing, retainage, and deliverables. Ability to learn new software quickly. Effective written and oral communication.

Preferred

Qualifications:




Associate's degree or significant college coursework in business administration or related field. 3+ years professional administration in the construction or utility industry. Prior experience with Xcel system. Experience processing invoices. Excellent Excel skills, including complex formulas.

Pay Range:

$23.00- $25.00/hr
