Job Description

We're searching for a diligent office assistant to provide administrative support. You'll be maintaining general office needs in a friendly and timely manner. Helping the Administration Department to implement office standards to streamline our processes. Scheduling and calendaring appointments, booking attorney travel, scheduling office events, ordering office supplies, sorting mail, and facsimiles/scanning and saving documents appropriately.
Courier and Notary when needed. Applicants should be extremely thorough, possess excellent communication skills, and have some background in customer service. Send us your resume today to become part of the team!
Responsibilities:

  • Sort, scan, and deliver all incoming mail.
  • Sort all incoming faxes and deliver them.
  • Mail new intake packets out after the client is signed.
  • Follow up on all outstanding intake packets until retrieved.
  • Set up a hard paper folder for returned packets and original documents.
  • Create electronic folders on the server for all new clients
  • Notarize documents inside and outside of the office with retrieval.
  • Pick up medical and facility records when needed.
  • Stock the refrigerator daily with drinks.
  • Maintain kitchen supplies weekly.
  • Maintain office supplies weekly.
  • Contact maintenance with any office issues.
  • Book travel for office management and staff.
  • Set up office activities.
  • Reception of all rollover calls.
  • Courier for settlement check and documents needed.
  • Drop off mail daily
  • Close settled and disengaged cases and make ready for storage.
  • Calendar personal events for the partners and any requests.
  • Post office and FedEx run when needed.
  • Maintain office cleanliness.
Qualifications:
  • Display excellent written, problem-solving, and verbal communication skills
  • Shows ability to quickly finish very detailed work
  • Navigates computer programs with ease to provide a quick front-desk experience for customers
  • Prior experience in office management or our industry is a plus
  • Associate's degree preferred but not required to apply
