The Executive Assistant provides high-level administrative support to the Executive Director in a dynamic, one-on-one working relationship managing day-to-day operations of the Chamber office. Serving as a point of contact for internal and external membership, this role ensures seamless operations within the Executive Director's office. Responsibilities encompass comprehensive administrative duties, grant seeking, fundraising efforts, and rural tourism duties to support the chamber's mission. The ideal candidate is a proactive, detail-oriented professional with strong organizational skills, capable of handling confidential information discreetly while thriving in a fast-paced environment focused on business advocacy, networking, and community engagement.
Key Responsibilities:
Assist office operations duties including, but not limited to the following:
Manage the Executive Director's calendar, including scheduling appointments, meetings and events.
Assist with all aspects of Chamber e-mails/correspondences, including but not limited to drafting emails, letters, newsletters, social media posts and board of director reports.
Answer incoming calls, and inquiries, providing appropriate responses or referrals.
Prepare and compile documents, presentations, agendas, and materials for meetings, conferences, and events.
Maintain Chamber filing system
Compile/keep an active and correct email database of all members along with community members for newsletter disbursement.
Maintain a good working relationship with Lyon County, Dayton Valley Days, Travel Nevada, and Pony Express Territory.
Assist with special projects, including outreach efforts, partnership development, grant seeking, fundraising opportunities and event coordination related to chamber initiatives.
Attend and represent the Chamber at any meetings the Executive Director deems appropriate to the Executive Director Assistant position.
Grant Seeking and Fundraising:
Research and identify potential grants, donations, and funding sources for chamber projects, events and initiatives.
Assist in drafting grant proposals, applications, and sponsorship requests, ensuring alignment with funding criteria and deadlines.
Maintain relationships with donors, sponsors, and grant-making organizations, coordinating follow-up communications and reporting requirements.
Support fundraising campaigns and events, including preparing materials, tracking contributions, and coordinating donor acknowledgment processes.
Maintain accurate records of grant applications, funding received, and donor interactions in WildApricot & QuickBooks.
Board and Committee Support:
Act as liaison to the Board of Directors, maintaining relationships and ensuring confidentiality in all interactions.
Coordinate board and committee meetings, including scheduling, agenda preparation and distribution of materials.
Maintain chamber records, bylaws compliance, and updated contact databases for board members and Membership.
Support chamber events such as retreats, ribbon cuttings, mixers, Dayton Valley Days luncheons and member appreciation activities as needed.
Education and Experience Requirements
Minimum of 3-5 years of experience in an executive assistant or administrative support role, preferably in a non-profit, chamber of commerce, or similar organizational setting.
Experience with board governance, event planning, member services, WildApricot, and QuickBooks is a plus.
